Requirements:
- Supervises the day-to-day operations for the Order Management team; ensures timely execution of enrollment related activities and order inquires required to support the processing of customer orders
- Monitors the activities related to patient enrollments and records ensuring customer commitments are met
- Communicates key responsibilities and procedures to ensure the team promotes a successful attitude, and teamwork to achieve business objectives and financial goals
- Reviews daily Salesforce cases to ensure turnaround time expectations are met and exceeding customer commitments; conducts regular case audits and develops an action plan to address issues identified
- Communicates and reinforces Order Management’s overall program goals and objectives to team members
- Leads departmental new hire training and supports training of internal teams on program details
- Trained to successfully back-up all positions within Order Management and responds to requests if team member(s) is unavailable / out of the office
- Conducts regular check-in meetings with team members individually and as a group
- Updates Standard Operating Procedures and obtains necessary approvals prior to implementation
- Consistently identifies operational efficiencies for process improvement and facilitates progress
- Manage customer relationships and support all aspects of the customer order processes, policies, and procedures
- Administer and process patient enrollment forms, entering accurate data into proprietary systems
- Ensure confidentiality when handling patient data to comply with Patient Data Privacy Policy
- Manage order information in the ERP system, including processing credits, debits and pricing updates
- Obtain accurate order information, initiate investigations to gather missing information, and escalate issues as necessary to ensure timely resolution
- Manage the Account Set-up process and serve as point of contact for GPOs, Distributors
- And commercial partners to establish and maintain active accounts to support billing
- Supports Finance on customer chargebacks, administrative fees, and rebates
- Work cross functionally with internal and external partners to resolve inquiries
- Manages and develops accurate reports and identifies data discrepancies, coordinates corrections with appropriate departments, and conducts monthly reconciliations
- Maintain and audit the Public Health Service (PHS)/340B eligibility tracking process in SFDC to ensure hospital accounts receive correct pricing
- Successfully manage customer service calls while following communication scripts
- Champion CRM enhancements supporting operational efficiencies, improved data, and cross-functional partnerships
- Track, trend and report on metrics for key business performance indicators; identify improved metrics supporting operational excellence
- Develop collaborative and cooperative working relationships, be a valued team contributor, and model corporate values
- Provide subject matter and technical support to other business functions
- 3-5 years related experience in Customer Order Management in high-volume environment
- Proven ability to coach, motivate, and engage a team to produce the best results possible
- Bachelor’s degree Required
- Onsite Monday-Friday 8am-5pm
- Hybrid 3 days in office and 2 days at home after training is completed
- Salary: $69-85k a year plus bonus
