Job Description: The Customer Excellence Lead is responsible to ensure customer satisfaction from initial product inquiry through the post delivery of the product. The incumbent's responsibilities will focus on contract review, using existing ERP tools and building and completing order entry, customer support and invoicing processes . We are looking for an organized, friendly, candidate with great communication skills and super user ERP experience who can set up processes and be our subject matter expert in leading office and customer support.
Essential Duties and Responsibilities:
Works with minimal supervision to set up processes and systems using company tools/systems to:
- Own effective and efficient customer service process and systems set up.
- Coordinate information between the sales team and the customer
- Complete customer and system data entry for new and existing customers
- Complete set up of daily order entry and business transactions in a timely and accurate manner which may include verification of financial, contractual, and regulatory requirements including appropriate sold-to information, payment terms, end-user purchase order when required, working collaboratively with sales, finance and engineering to gather missing information, obtaining approvals and other workflow steps.
- Prioritize orders to accommodate expedites and urgency.
- Assist finance and sales in investigating customer disputes, verifying prices and resolving discrepancies.
- Determine correct order type (domestic, export, etc.), customer number for billing and shipping, and the correct shipping method. Verify commission control data assigned by the system.
- Comply with corporate policy and regulatory requirements related to EHS, sales and pricing. Initiate requests for special discount, pricing and/or commission approvals with the appropriate supervisory level and approvals.
- Assign order hold codes for pricing and other payment issues, new or special products for which order entry items numbers must be developed, production scheduling, print approval, etc. Release order holds as approvals are received
- Work with Application Engineering on special order requirements such as print approval prior to production and other documentation and testing, etc.; development of new item numbers or purchase orders.
- Maintain files of all purchase orders and associated documentation, correspondence, notes, (files may be electronic, as well as hard copy).
- Supporting quoting activity as needed, and follow up with customers and outside sales team to ensure quotes successfully transition to orders.
- Act as key customer contact to provide information to customers on complete sales cycle from quote through managing successful delivery.
- Manage inventory to stocking levels.
- Ensure that all paperwork, purchase orders, agreements, etc. are processed in a timely manner to meet/exceed customer expectations.
- Be the team lead for ERP system operation and maintenance.
- Own continuous improvement actions for workflows and system processing.
- Other duties as assigned
Qualifications:
- Community College, Associates Degree required; Bachelor’s Degree preferred.
- 3-5 years’ experience in leading a customer service team as an ERP leader.
- Attention to detail and proven problem-solving skills
- Experience required setting up customer service processes for an industrial environment a plus
- Excellent organizational skills and the ability to maintain a high level of accuracy in a fast-paced, multi-tasking environment are required.
- Experience with computerized order entry & ERP system / data entry skills
- CRM experience preferred
- Proficiency with MS Office suite
- Professional, friendly and clear communication skills required, both verbal and written
- The ability to drive actions and collaborate successfully with a variety of teams and organizational levels to ensure customer satisfaction.
- Customer service experience – experience understanding customer needs, solve problems, and respond with a sense of urgency and tact.
- Organizational skills – ability to manage time and multi-task.
- Math competency in dealing with order and pricing accuracy for initial orders, return, warranty, etc.
