Information Management Technician
- Creation of new files, following established procedures.
- Prepare records for offsite warehouse storages (GRC), as necessary.
- Implement litigation maintenance and offsite warehouse filing system, including retrievals and re-files (GRC Locator).
- Locate files at client request for temporary use outside of the department (Customer, Governmental Audits).
- Review, organize and implement Drawing Review and Storage System
- Complete multiple projects such as file purges, large filing reorganizations, etc. as necessary.
- Generate frequently scheduled activities to maintain client records: Clean Sweeps, Section Reviews, Quarterly Tasks, EOY transition, etc.
- Handle sensitive and/or confidential documents and information.
- Document Owner for Site IM Hardcopy procedures.
- Communicate with manager and client on job or deadline issues.
- Data entry of all records into the client records management database (WebEDMS).
- Create and edit complex documents to specifications using expert word processing and advanced document knowledge.
- Scan, organize, tag (using metadata) and convert documents to/from different software packages.
- Recover/restore corrupted document files when needed.
- Determine freeze applicability and prepare records using IM-created litigation process.
- Generate reports from the records management database/listings as requested (MPFL, WebEDMS).
- Implement, maintain and report File Share Security, Document Properties, metrics and record retention process.
- Locate files at client request for temporary use outside of the department (Customer, Governmental Audits).
- Participate in projects such as file purges, large filing reorganizations, etc. annually and as necessary throughout the year.
- Participates in frequently scheduled activities to maintain client records: Records Management Audits, Section Reviews, Quarterly Tasks, EOY transition, etc.
DMS Training Administrator
- Explain to new employees how to access their individual MyLearning training plan.
- Determines, assigns, and removes functional, site and Core Role training curricula.
- MyLearning functionality focal point for client.
- Determine waiver and exemption applicability and process as approved by client leader or knowledgeable delegate.
- Monitor, Report training on a monthly basis for overdue training courses.
- Communicate training deficiencies to the employee and Leadership.
- Demonstrates a comprehensive knowledge of MyLearning procedures, policies and overall work process
- Maintains and reinforces positive relationship with client department and leadership.
- Communicate with Coordinator if job or deadline issues are identified.
