To keep pace with that growth, we are looking for a Benefits Lead, who reports directly to the Benefits Manager to help our Human Resources team provide WOW customer service to all Kendra Scott employees and to maintain all plan administration and compliance.
Responsibilities:
- Serve as a go-to for all benefits related questions for Kendra Scott employees.
- Foster working relationship with all benefits & 401(k) vendors to maintain smooth operations.
- Problem-solve and identify root causes of any benefits or 401(k) issues, and bring to resolution.
- Processing all enrollments and terminations in plans in a timely manner.
- Manage COBRA process and ensure compliance with all legislation.
- Lead and manage the Open Enrollment process including delivery of training, materials & communications and ensure all employees have enrolled.
- Ensure compliance of all programs including auditing enrollment, payroll deductions, leave administration, ACA, reporting, etc.
- Reconcile and audit monthly bills to ensure accurate payments for all vendors.
- Manage arrears process and accurately recoup deductions from employees (on leave, early month terminations, etc)
- Manage file transmissions and resolve any errors that occur. Partner with vendors to ensure error reports are addressed and resolved accordingly.
- Involved in strategy and design conversations to provide meaningful feedback and participation that supports in decision-making.
- Own LOA process with employees and LOA vendor to ensure wow experience for employees.
- Design and deliver lunch and learns, employee wellness events and volunteering opportunity to foster KS culture of health, happiness and philanthropy.
- Cross-team functionality to deliver excellent results (payroll, compensation, philanthropy, Retail, etc)
- Support with incentive and recognition programs to maintain culture.
- Operationalize pandemic safety and covid protocols.
- Gather feedback from employees on benefit plans and offerings.
- Oversees maintenance of employee benefit files and updating of employee records.
- Auditing plan enrollments against payroll to ensure accurate deductions.
- Worker’s comp reporting of claims to insurance company and documentation for OSHA 300 reporting, bureau of labor statistics, and any other compliance filings.
- Process 401(k) distribution / rollover requests.
- Notify employees of benefits and 401(k) eligibility and audit eligibility to ensure accuracy.
- Assist with annual 401(k) audit and semi-annual advisory committee meetings.
- Support with year-end compliance documentation and communications.
- Take on additional HR support projects as needed.
Our Ideal Candidate Will Have:
- Bachelor’s degree or equivalent work experience; advanced certification is preferred (PHR, CEB or SPHR)
- 5 years’ experience supporting benefits for a high-growth company
- Proficiency with MS Office Suite and ADP
- Exposure and working knowledge of Federal and State regulatory laws and ordinances such as FMLA, ADA, HIPAA, etc.
- A willingness to play a “hands-on” role on key projects and initiatives
- Strong written, verbal and presentation skills to effectively communicate benefits and wellness strategies at all levels
- Discretion when handling sensitive and confidential information
- Flexibility to work with urgency in a fast-paced environment while managing competing priorities
- A growth mindset: track record of leveraging past learnings, encouraging new ideas and smart risk taking in self and others
