JOB SUMMARY

The primary function of the parts Counter Associate is to sell, at retail, parts to all available customers, over the counter, through the shop, or on the phone.
 

Duties and Responsibilities:

1. Assist walk-in customers in selecting required parts, suggest additional parts needed for the job, and up selling, offer any specials and ensure the customer is exposed the full product line.
2. Pull purchased parts from stock and create an invoice by computer or manual invoice. Collect the monies due if no cashiers is on, and accept checks and credit card to credit department's requirements.
3. If the part is not in stock, determine availability and submit an emergency order if requested by the customer. Also determine if the part is a DSP or Warehouse at the PDC and inform the customer if the part is more money.
4. Inform customers of " special order" policy deposit required and/or freight policy, including fuel sur-charge for non stock parts pick up at the local; PDC.
5. Assist the outside sales representatives with their orders and insure if and how they want delivered. Or order if not in stock.
6. Set up orders for daily shipments, delivery, or pick up. Along with marking on the delivery board time parts were in the back and if delivery is hot or stock.
7. Verify, " will call " and "back orders" files weekly and return to vendors, or stock those items not required if the customer doesn't need the part. They must be done before the end of every month.
8. Restock shelves and maintain parts bins, i.e. rearranging parts. Clearing, labeling and maintaining your assign bins.
9. Assist the parts manager or assistance manager with any miscellaneous tasks.
10. Assist with annual and spot physical inventory counts.
11. Maintain counter area, keep clean and uncluttered. Maintain your assign area clean and organize, includes books, computer, keyboards and etc.
12. Participate with the parts manger in maintaining a lost sale-tracking program.
13. Follow dealership policies on returns, core credits and check cashing policy. On new returns you will be required to put the part away and mark bin location, and cores must be mark with customer information and core return tag.
14. Maintain front display area to insure area is fully stocked and is professional.
15. When a credit charge is declined, notify the credit department. If they are not available, either decline to charge the purchase or release the credit hold accordance with the dealership's guidelines. You must call the appropriate credit department person on call before releasing any parts.
16. You should be here least 10 minutes before your shift starts, or be ready to work and in uniform when shift starts. If you are to be late or calling in sick you must notify the parts manger ASAP, preferred two hours before your shift starts. You may require to work rotating Saturdays on the parts counter.
17. The counterman will also help to put stock away if slow or if deemed necessary.

Specific to back counter:

1. Assist service technicians in selecting needed parts for repairs in process.
2. Order parts not in stock if, after discussion with shop foreman. If the parts are needed and will be used upon receipt or that the customer will return for the required repairs. If need to discuss with the customer if any deposit is required for the part to be order if non-stocked. Also inform the foreman of location of parts not in stock and if any freight charges that will be applied.
3. Notified the service department that ordered parts have been received and where they are located at, on shop will call shelves.
4. Ensure that all parts issued are posted to the correct repair order and operations, and core charges and credits are handled correctly. Including making sure cores are accessible to the parts department to take possession of the parts and they are tagged with a core return tag, along with signature of the receiving counterman's initials.
5. Answer phones when front counter is overloaded.
6. Also maintain their assign area is clean and cluttered free.
7. Also to notify the shipping departments of any pick up by marking on the delivery and pick up board.

 


 

QUALIFICATIONS

High school diploma or equivalent. Ability to read and comprehend instruction and information given. One year of experience in an automotive parts department. Professional appearance, ability to work well with the public, sometimes with several customers at one time, and be professional when dealing with difficult customers. Will be required to wear dealership – provided uniform in a professional manner.
Working Conditions:
Non-exempt: "This position is considered a non-exempt position for purposes of federal wage-hour law, which means that you will be paid overtime pay for all hours actually worked in excess of 40 in a given workweek." You must obtain authorization for your supervisor prior to working any overtime. 

 


WORKING CONDITIONS

This is a physically demanding position. Will move throughout the parts shelves all day, reaching climbing to obtain parts from inventory while using all safety equipment and safety regulations. Will stand six to eight hours during a shift at the counter. May be required lifting and transporting up to 50 pounds several times a day. When delivery parts to the service department will be exposed to noise, dust; exhaust fumes, paint and other hazardous and non-hazardous materials. Must be able to operate forklifts and maintain certifications on a regular basis.
