Position Overview: The Executive Assistant will play a critical role in ensuring the smooth functioning of our organization by managing schedules, coordinating meetings, handling correspondence, and performing various administrative tasks with efficiency and professionalism.
Responsibilities:
- Calendar Management:
- Coordinate and manage complex calendars for multiple executives, including scheduling meetings, appointments, and conference calls.
- Anticipate scheduling conflicts and proactively resolve them to optimize the executives' time and productivity.
- Provide timely reminders and updates regarding upcoming meetings and events.
- Meeting Coordination and Support:
- Arrange and coordinate meetings, conferences, and special events, including venue selection, catering, travel arrangements, and logistics.
- Prepare meeting agendas, presentations, and supporting materials as needed.
- Attend meetings, take accurate minutes, and distribute meeting notes and action items to participants.
- Communication and Correspondence:
- Manage incoming communications, including phone calls, emails, and mail, and prioritize messages for urgent attention.
- Draft and edit correspondence, memos, reports, and other documents on behalf of the executives.
- Maintain professional and effective communication with internal and external stakeholders.
- Travel Arrangements:
- Coordinate domestic and international travel arrangements for executives, including booking flights, accommodations, ground transportation, and visa processing.
- Prepare detailed itineraries and travel packets, ensuring executives have all necessary information for seamless travel experiences.
- Monitor travel schedules and proactively address any changes or issues that may arise during travel.
- Administrative Support:
- Provide general administrative support to executives, including expense management, document preparation, filing, and record-keeping.
- Manage confidential information with discretion and professionalism, maintaining a high level of confidentiality at all times.
- Assist with special projects, research tasks, and other assignments as requested by executives.
Qualifications:
- Bachelor's degree or equivalent work experience preferred.
- Proven experience (3 years) as an executive assistant or administrative professional, preferably supporting C-level executives or senior management.
- Excellent organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
- Strong attention to detail and accuracy in all work activities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Exceptional written and verbal communication skills, with the ability to interact professionally with individuals at all levels.
- Discretion and tact in handling sensitive information and confidential matters.
- Ability to work independently with minimal supervision and as part of a team.

Pay: $50,000.00 - $70,000.00 per year
