What are the responsibilities and job description for the Entry Level Assistant position at Keynote Realty, Inc?
We’re looking for an Assistant/Errand Runner to join our super busy and fast-growing team!
We are a high-volume Real Estate Investment, Construction, and Realty company and we are the largest buyer of direct-to-seller homes in the area.
Our goal is to buy 15-25 properties every single month, and to facilitate that goal, and our expansion efforts, we are hiring a few great people to join our team.
We currently serve the Cincinnati, Dayton, and Columbus markets, and we're actively expanding our operations into Louisville, Lexington, and Indianapolis in the future.
We are 6 quality A hires away from making this a reality, and this Admin role is one of the key hires we need, hence this job ad :)
There are literally over 100 moving parts in Real Estate just to buy and sell a single house. It's chaotic at times for sure. We aren't even achieving 1/2 of our real potential right now which means there's a ton of room for you to come in and help us fix the messes and be part of our future and our growth!
I can't stress enough: If you are used to the organization and structure of a larger company that has very well-defined systems and processes and you can only flourish in a role like that...this is 100% NOT for you.
Here, it's truly a hectic and chaotic, disorganized mess!
Between my Lyme disease and health issues, and a few employees in the past that are no longer with us...we have 30-50 BIG things to fix to enable our growth and expansion.
This is only a fit for you if you feel confident in your ability to do just that: Fix big things, and if you LOVE being a very important key player and you get a ton of satisfaction from doing that.
We need someone sharp, very detailed, well-organized, and capable of handling a lot of challenging tasks and projects.
Must be a self-starter, someone that can work at a rapid pace and help us get 1,100 different tasks done with speed and efficiency. The job is never the same day to day and is certainly never boring!
Please understand that line above: The job will truly have 30-50 different tasks in a week, some super quick, some you'll work on multiple days, and you have to be very good at working without ALL the details, working without much oversight, doing your own research, being very sharp and organized, and getting it done.
The Senior Management team has to be able to give you these tasks, rapid-fire, and you have to be capable of organizing them efficiently, getting them done and checked off the list, and turned back in complete and as perfect as you can make them.
This position has very limited instructions and very little training. You'll have to be very good at solving problems on your own, figuring out the best way to do something, etc!

You will receive 10-25 different tasks per day. Some small, like calling to turn on utilities for a property. Some much more important and higher level....such as comparing 200 examples of a specific car on Autotrader, calling and negotiating the very best price for it, and handling all details and instructions to get the car shipped to us.
You'll scan in and organize a ton of receipts, invoices, etc and help my Personal Assistant Heather with many very important tasks like that. Being detailed and perfect in this regard is required. Everything has to be tracked, entered perfectly, organized, etc. And the IRS doesn't care if you had a bad day...they require it to be perfect.
Like the "Buying a Car" example above, there are 10 things to worry about with that type of task (smoker smells, any accidents, paintwork, any issues, warranty, title work, how to safely send money, and many more) and you have to know, think of, and predict all of them.
There won't be anyone here that can train you on those common-sense things! If there were, we'd just do the task ourselves and wouldn't be hiring :)
You'll need to be 100% comfortable with being clean one day and dirty the next.
Meaning, some days you'll be working in the office all day and staying clean in nice attire.
Some days you'll drive and meet our attorneys, title companies, Realtors, etc., and must dress and represent us well.
On other days, you'll have a nasty house to clean and debris to pick up in a yard, groceries to get, cars to clean and fuel up, etc. You must be comfortable with all levels of tasks.
You have to be persistent with everything you do. If you’re assigned a task, of any variety, it’s 100% your job to stay on it through to completion and navigate any problems along the way. Consistent follow-up is the name of the game. You have to ask questions and you have to be willing to find answers on your own as well.
We need autonomous awesome people who get things done without too much oversight. And as you prove yourself in that way, it's great for you too. No micromanaging!
Even though this is an Entry Level role to start, it's a VITAL role to our organization. You will be VERY important here and the more you help the Senior Team get their work done and handle the tasks you're given, the more you'll shine and be rewarded for it.
We've had many people come in here through Entry Level roles and within 12mo, they've been promoted, had a 30% raise, etc. For quality people, the sky is the limit here!
Make no mistake, it is NOT easy. We're actively hiring 6 people, and your Admin role is a very important part of those 6.
It is chaotic and you have to thrive in that kind of twisting and changing environment. That just means you have to be very organized in order to keep up with your workload and you have to be willing to push and challenge yourself!
Since you'll do so many different types of things in a day, you must be great on the phone, great on the computer (typing, spreadsheets, etc.) great at talking to people on the phone and in person and building rapport, etc.
Some days you'll be in the office all day, and the very next day you might be out driving 80mi total in a company car and hitting 6 different stops along the way. Enjoying variety and change is HUGE here.

Job Pay, perks, and benefits:

$17 - $20 hourly plus bonuses!
Responsibilities:- Check all UPS/USPS mailing boxes and running return mail multiple times a week. This will be detailed and organized in Excel and you must know it well.
- Monitor inventory of 20 different things (paper, ink, groceries, supplies, drinks, etc) and keep all supplies ordered and well-stocked
- Maintain vehicle maintenance logs for company fleet, get oil changes, gas up vehicles
- Assist Transaction Coordinator with various tasks such as heavy phone and email work to achieve getting many things done. IE: Calling for insurance premiums, utility maintenance, coordinating with property management and title companies, negotiating with suppliers, selling various items on Ebay/Craigslist, calling clients for Customer Service and obtaining 5-star reviews with our property sellers, and many more.
- Overseeing incoming and outgoing mail: Sorting, writing, addressing, mailing out/shipping up to 100 letters/day (with good legible handwriting).
- Phone texts and calls: This includes quality conversations with people that require a certain level of empathy, friendliness, and professionalism to facilitate helping us buy homes.
- Keep detailed notes and accurate schedules.
- General errand running, such as picking up groceries, meal prep, shopping for clothes, filing documents at county courthouses, meeting Realtors, placing for sale signs in yards, meeting Homeowners we bought a property from and having them sign documents, 20 more here.
- Keeping the office clean and sanitized on a routine schedule 3x per week.
- Data entry, spreadsheets, Word docs, making signs, and many other general duties.
- Calling 200 clients in our CRM/Database. Must have an excellent phone voice, verbal and written communication with excellent spelling/grammar, etc.
- Taking high-quality photos and videos of properties we list for sale or lease. You'll need to learn our camera by watching 2-3hrs of videos on the best settings and editing so you can take and edit QUALITY photos every time!
- Constantly be on the lookout for ways to improve every part of the business and what you are doing within it and present any new ideas and methods as they come to you - then be ready to implement them and see them all of the way through
- You’ll be placing signs and knocking on doors sometimes to let a neighbor know we just bought a house in the area and would like to buy theirs while leaving business cards.If you’re afraid of the phone or door knocking on a stranger’s door....this is NOT for you! You'll only do this a few times each month, but you 100% absolutely will have these tasks. And when you succeed, you get bonuses :)
- Data Entry and all Microsoft Office (Word, Excel, etc.)
- Typing 55wpm or faster
- Real Estate or Construction knowledge is a plus but not required
- Quickbooks or other accounting experience is also a plus, but again, not required!
- Ability to use a phone and email effectively to reach out to clients, suppliers, vendors, and other folks and solve problems! Customer service here is a huge part of the role
Must-Haves:
- Current unrestricted driver’s license and reliable vehicle to get to work.You need a very mostly clean driving record as you will be on our insurance and driving company cars. One speeding ticket is ok :)
