What are the responsibilities and job description for the Front Desk position at Keystone Urology?
DUTIES AND TASKS INCLUDE, BUT ARE NOT LIMITED TO:
General
1. Keeps all patient information, practice information, and staff information strictly confidential.
2. Performs routine work under general supervision.
3. Follows established procedures, referring all new or unusual questions/concerns to CEO.
4. Acts as patient advocate, ensuring a setting that protects the rights of the patient and provides an atmosphere that does not compromise the patient's physical or mental well being, safety, or dignity.
5. Demonstrates knowledge of OSHA Standards, Medical and Disaster Emergency Processes, and Fire Safety measures and evacuation process.
6. Maintains knowledge of, and complies with established policies and procedures.
7. Attends all required meetings.
8. Verifies patients with Medical Assistance.
9. When working with patient's medical records, makes sure all file folders have middle initial and birth date.
10. Makes every effort to find chart(s) - if chart(s) is not in file, looks in auxiliary offices. If chart(s) is not found, notifies correct person to have chart made.
11. Pulls charts and attaches precert tickets to charts that need precertification
12. Pulls up patient's account age and referring physician in the computer and writes them on the pink ticket
13. Check pending file to insure that all precerts have been finalized.
Specific
1. Greets all visitors and gives assistance in the preparation of forms relating to patient information, medical data, and insurance coverage. Updates and verifies all existing data on each patient visit.
2. Answers telephone, takes messages, pages physicians accurately and pleasantly.
3. Collects copays and any deductibles
4. Announces patient arrival to Recovery Room Nurse.
5. Calls and confirms patients scheduled for procedures.
6. Answers inquires by patient family's
7. Accepts deliveries from Federal Express and others
8. Relays and takes phone messages
9. Gives patient discharge instruction, copy of discharge instruction sheet, makes any follow-up appointments and schedules any tests per MD's instructions.
10. Prepares consent forms packets for next day procedures
11. Participates as directed in QAI programs
12. Gives patients pre-procedure and preparation. Answers any questions about the pre procedure instructions.
13. Handles incoming calls, obtains appropriate information and distributes it to the physician on call.
14. Calls family doctor if patient has HMO and treatment has not been authorized.
15. Does procedure papers when needed (should not be told this needs to be done).
16. Files hospital and operative reports, consultation reports, and discharge summaries.
17. Verifies information sheet and makes sure what has been entered into the computer is correct.
18. Participates in a variety of clerical functions
19. Reviews each patient's information in the computer before being seen to check for outstanding account and identifies status on charge slip so money may be collected at check-out.
20. Reviews to make sure scheduling is done correctly.
21. Operates computer to enter pertinent demographics, insurance coverage, and charges with accuracy and speed.
22. Reviews and obtains pre-certs that are needed for appropriate charges or services.
23. Demonstrates working knowledge of fax machine, copy machine, printer, and computer system.
24. Checks posting to assure appropriate and accurate information has been entered.
25. Prepares charts for scheduled cases.
26. Consistently acts as a customer service representative for the Center.
RELATIONSHIP WITH OTHERS:
1. Works well with others in position of authority.
2. Maintains cooperative working relationship with all TUSC and KUS personnel.
3. Promotes a high degree of morale and spirit of motivation within the Center. This includes the degree of cooperation, communication and coordination between this function and other employees.
4. Demonstrates ability to tactfully handle difficult situations.
