Job Title: Administrative Supervisor
Reports to: Executive Director
I. Job Summary: To confidentially administer and handle correspondence, routine and detail work for the Director to facilitate the operations of Kirby Pines Estates.
II. Job Qualifications: High School education with business and grammar training. College degree preferred, but business/secretarial diploma acceptable. At least 2 years’ experience in leadership with Supervisory skills. Must be computer literate, at least two years secretarial experience required, good typing (60-80 wpm), plus knowledge of other business machines. Must have ability to communicate effectively with residents, public and co-workers.
III. Essential Job Functions:
1. To be knowledgeable of facility operations to assist Director with daily procedures. Be administration buffer; handle residents’ needs by answering questions, solving problems when possible, and assisting residents with their needs.
2. Timely complete duties assigned by Director.
· Type correspondence accurately and efficiently for the Director.
· Supervise receptionists, resident services coordinator. Interview and hire receptionists. Review, edit and submit payroll to Accounting. Conduct evaluations.
3. Manager on Duty:
· Prepare and distribute MOD calendar to department heads, RCA and front reception desk.
· Prepare building inspection list for the year.
· Serve as Manager on Duty. Review to see that weekends are covered and that each one is doing their turn
4. New Resident Visitation:
· Visit new residents & record info in computer New Resident Log.
5. Keeper of the phones:
· All requests for phones, new lines, etc. come through the Executive Supervisor’s office.
6. Contributes to a positive work climate and the overall team effort of the community.
· Demonstrates consideration and concern for fellow workers and their jobs, and promotes harmonious relationships and attitudes.
· Accepts additional assignments and changes in assignment and/or work area.
· Promotes an environment in which the values, customs and spiritual beliefs of the individual are respected.
· Maintains confidentiality and utilizes appropriate channels of communication when sharing information.
· Displays enthusiasm in promoting positive attitudes among personnel with the implementation of new policies and procedures.
· Notifies supervisor (Executive Director) of problems and complaints in a timely manner.
IV. PHYSICAL Requirements:
Adult in good physical and mental health, exhibiting emotional maturity and stability
