We are looking for a detail-orientated Accounts Payable/Accounts Receivable Manager to lead, mentor, and develop accounting services-transactional accounting teams, Accounts Payable and Account Receivable. The successful candidate will be required to demonstrate leadership support for all departmental initiatives and organizational development activities, modeling expected behaviors to managers and staff to create the desired workplace culture.
The successful candidate will manage and oversee the daily operations of accounts payable, accounts receivable, and subcontracts payable functions which will include but not limited to, the control and processing of all companies’ accounts payable, recording of accounts receivable invoices, and applying for customer payments.
Duties and Responsibilities
- Provide backup documentation for billings, cost and subcontracts payable when requested.
- Possess a thorough understanding of the accounts payable data processing program and recommend alterations to the program as needed to run it efficiently and effectively.
- Train personnel as needed on the accounts payable and accounts receivable system. Develop and maintain procedures.
- Maintain lease and rent files. Oversee monthly lease payment and schedules.
- Monitor vendor invoices for correct tax information.
- Complete any necessary documentation to obtain vendor credit on behalf of the company.
- Research vendor payments as necessary.
- Monitor expenditures for reasonableness and confer with appropriate manager.
- Prepare and provide year end audit documents to auditors.
- Communicate repetitive deficiencies in meeting deadlines and accuracy of all incoming data to management.
- Ensure accuracy and timeliness of all reports and information to all internal and external customers.
- Manage special payment requests.
- Oversee the processing of corporate credit card accounts.
- Manage the maintenance of the corporate credit cards.
- Oversee and manage the reconciliation of vendor statements.
- Oversee and approve subcontractor monthly billings.
- Oversee and approve vendor and subcontractor payments.
- Reconcile accounts payable ledgers to the general ledger.
- Review the entry of subcontracts and change orders onto accounting system.
- Monitor the collection of applicable lien waiver documents from subcontractors.
- Oversee and provide exemption certificates to subcontractors and vendors.
- Prepare and submit 1099 annual reporting.
- Prepare ad hoc reports/analyses as required.
- Maintain relationship with outside vendors and subcontractors.
- Manage administration of accounts payable system.
- Manage administration of subcontracts payable contract management system.
- Manage credit card rebate programs.
- Manage Electronic Payment programs.
- Manage cash basis error entry batches.
- Manage integrations for accounts payable and accounts receivable systems.
- Help project teams with monthly billings and pay application discrepancies or questions as needed.
- Manage project closeout. (Ensure all project commitments, billings and receivables have been processed).
- Manage, maintain and train on all technology upgrades (E1, Textura, Coupa, DadePay).
- Manage and maintain ACH procedures and verification of new vendor enrollments.
- Manage vendor enrollment and participation of credit card programs.
- Create and maintain punchouts and PO transmission through Coupa.
- Maintain proper bank ACH authorizations for reoccurring wires and payments.
- Collaborate with project teams to mitigate risk with “high risk subcontractors” (joint checks or any special requests that are required).
- Deal with escalated inquires from internal and external stakeholders.
- Manage and reconcile company Verizon statement monthly.
- Reconcile credit card programs monthly.
