Job Description: Executive Assistant
Location: Towson
Compensation: based on experience
Position Summary:
A commercial real estate firm in Towson, MD is seeking a full-time Executive Assistant to join their team. This position is responsible for providing multiple real estate brokers with accurate, comprehensive, and professional assistance.
Responsibilities include, but are not limited to:
Brokerage Support:
- Create and send written internal and external communications with brokers, clients, real estate representatives, etc.
- Prepare proposals, commission agreements, listing agreements and other documents on brokers’ behalf
- General upkeep of brokers’ marketing information and contact databases
- Research and analyze commercial market and housing data
- Maintain information containing property listings and updating important information for those listings
- Assist with general office management/clerical functions, including maintaining electronic and paper files, scheduling meetings/conference calls, returning phone calls for property inquiries, etc.
- Uploading property information to external marketing resources for distribution onto real estate databases
- Assist the Marketing & Design team by researching information for creation of property flyers related to the firms’ clients and sending eblasts
- Research and create tour books related to the firms’ clients
- Create lease analysis comparisons of proposals
- Distribute bi-weekly newsletters via email
- Create mailing lists based on criteria given.
Office Operations, as needed:
- Managing the day-to-day operations of the office
- Maintenance requests
- Maintain office machines – copiers, postage machine, printers, phones
- Upon request, reserve conference room(s), order lunch for meetings
- Promote any company function and/or donation drive
- Greet clients and guests when they visit the office
- Assisting brokers in the office with daily business needs
- Assisting other offices in the company, as needed
- Additional miscellaneous office duties, as required
The ideal candidate:
- Must have High-level organizational skills and forward-thinking ideas and preparedness.
- Must be able to work in an efficient and effective manner.
- Must be able to work well under pressure and meet quick deadlines.
- Must be able to multitask and transition from one project to the next with ease.
- Must have excellent communication skills, both written and verbal.
- Must have strong computer skills in Word, Excel, Outlook, Internet Research, etc.
- Must have attention to detail and strive to produce materials without error.
- Must be a quick learner with the ability to prioritize workload and adapt to changing conditions.
- Must be willing to learn and understand the commercial real estate industry.
- Must be willing and able to learn new software programs used in the commercial real estate industry.
- Must have the ability to work independently and collaboratively.
- Knowledge of the Washington DC/Baltimore area is a plus.
- Knowledge of Adobe Acrobat is a plus.
- Knowledge of CoStar/LoopNet is a plus.
- Current a Public Notary is a plus.
