Summary
The Payroll Manager serves as a strategic partner who is responsible for managing and overseeing all aspects of the payroll process for the family of Kraus-Anderson companies, including KA Construction Company, KA Development Company, KA Realty Company, and KA Companies. In addition to technical expertise, the Payroll Manager will lead and manage a team of payroll specialists, providing guidance and support to ensure the smooth functioning of the department.
Essential Duties and Responsibilities:
Payroll Processing:
- Oversee the end-to-end payroll process, including data entry, review, and verification of time and attendance records, earnings, deductions, and benefits.
- Ensure compliance with federal, state, and local payroll regulations and company policies.
- Execute payroll accurately and on time, resolving any discrepancies or issues promptly.
Payroll System Management:
- Utilize and maintain expertise in both Viewpoint Vista and ADP payroll systems to streamline payroll processing and reporting.
- Collaborate with the IT and HR departments to address any system-related issues and enhance the efficiency of payroll operations.
- Ensure the payroll systems are set up correctly to ensure employee paychecks are produced, and fixed labor costs get automatically charged to projects and overhead accounts. (I.e. through billing labor rates).
Team Management:
- Lead and mentor a team of payroll specialists, fostering a positive and productive work environment.
- Provide ongoing training and development opportunities to improve the team's skillset and knowledge.
- Coaches and mentor’s payroll team for continued growth that aligns with the teams development goals and company needs.
Compliance and Reporting:
- Prepare and submit payroll-related reports, tax filings, and other required documentation to regulatory agencies, ensuring compliance with all relevant laws and regulations.
- Monitor changes in payroll laws and regulations and update payroll policies and procedures accordingly.
Benefits and Compensation Administration:
- Collaborate with the HR department to manage employee benefits, deductions, and contributions accurately.
- Support Executive VP of HR with executive compensation plans.
- Proactively seeking to understand and partnering on areas of process improvement opportunities.
Auditing and Reconciliation:
- Perform regular audits and reconciliations of payroll data to maintain data accuracy and integrity.
Problem Solving:
- Address and resolve employee payroll inquiries and issues in a timely and professional manner.
- Investigate and rectify discrepancies in payroll records.
- Strategic thinker, collaborating with various departments and partners to ensure KA company strategies are consistently being worked towards and at front of mind.
- Communicating complex situations in a way that is effectively understood by various audiences.
Managerial:
- Leading coaching and developing payroll team members.
- Monitoring and developing team to ensure growth and alignment to performance metrics
- Building teams and partnerships throughout the organization
Performs other duties as assigned.
Required Knowledge, Skills and Abilities:
Education/Certification:
- Four-year college degree in a business-related field (Accounting, Bus. Admin, H/R, etc.)
- Professional designations preferred (Certified Payroll Professional)
- Participation or membership with professional associations (APA, NAPA, SHRM, etc.)
Experience/Skill:
- Minimum of 10 years of experience in payroll management, preferably in the construction industry and at least 5 years of experience in a leadership role.
- Minimum of 3 years of union payroll- Strong understanding of federal, state, and local payroll tax and payroll laws and regulations.
- Proven experience managing a team and leading payroll operations effectively.
- Excellent analytical and problem-solving skills.
- Detail-oriented with a commitment to accuracy and data integrity.
- Ability to handle sensitive and confidential information with discretion.
- Demonstrated computer proficiency (MS Office – Word, Excel and Outlook)
- Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers
- Ability to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service
- Ability to use time productively, maximize efficiency and meet challenging work goals
- Ability to maintain compliance with all company policies and procedures
- Ability to possess and maintain exceptional work ethic as well as uphold company values and demand the highest standard of conduct from self and others
Preferred Knowledge, Skills and Abilities
- Proficiency in using Viewpoint Vista and ADP payroll systems is strongly preferred.
Other:
- Valid Driver's License, ability to maintain a satisfactory Motor Vehicle Record, and ability to adhere to the KA Motor Vehicle Policy.
- Travel up to 10%
