Position Summary
The Assistant Registrar will manage all aspects of graduation processes for the Office of the University Registrar. As the Veteran’s Administration Certifying Official, they will assist Veteran’s and their families with VA education benefits, certifying and reporting enrollment to the VA. The Assistant Registrar also maintains academic records, supervises work study students, and works closely with administrators, faculty, staff, students and alumni.
Essential Duties
- Coordinates the graduation application process between the Office of the University Registrar and the Assistant Deans and Graduate Directors.
- Processes all graduation, certificate and walk-through applications.
- Records graduation fee on students who apply for graduation and maintains data for accurate one-time assessment.
- Responsible for reviewing academic records of all degree/certificate candidates, submitting these records for approval to the Assistant Deans and Graduate directors and awarding of degrees/certificates.
- Responsible for ordering and maintaining mailing supplies for diploma distribution. Handles the packaging and shipping process of diplomas.
- Responsible for ordering diplomas and certificates as well as the production and accuracy of the May Commencement Ceremony Program.
- Creates graduation calendar and maintains the on-line graduation application.
- The Veteran’s Administration Certifying Official advises military students and military dependents regarding VA education benefits.
- Provides initial educational plan to students
- Connects students to University resources such as Financial Aid, Students Accounts Receivables, academic advisor, academic support programs and services, and Career Center.
- Responsible for certifying and reporting eligible student enrollment to the VA.
- Keeps current on regulations regarding VA education benefits, completes certain military surveys, and coordinates VA audits.
- Records all suspension and probation status changes.
- Records academic and disciplinary dismissals.
- Responds to all Apostille requests, verifies information, and coordinates the ordering, processing, and mailing of documents. Also handles payment issues and check requests involved.
- Collects, prepares and mails documents for subpoenas and other large data requests.
- Hires, handles paperwork, and supervises work study students.
- Coordinates the processes between the Office of the University Registrar, Regional Training Center and the La Salle RTC Program Director.
Secondary Responsibilities
- Manages front office coverage when staff are not available.
- Performs other duties as assigned.

Required Qualifications
- Bachelor’s Degree and minimum of 3 years’ experience in a higher education setting or equivalent combination of education and experience.
- Proficient in Microsoft Word and Excel.
- Demonstrated success working in dynamic, high paced environment with high attention to detail and ability to work on multiple tasks.
- Demonstrated ability to effectively communicate with a variety of constituent groups and excellent customer service.
- Knowledge of and commitment to the mission of La Salle University.
Preferred Qualifications
- Prior experience using Banner student information system.
Physical Requirements and/or Unusual Work Hours
- Required to work all graduation ceremonies.
- Lifting boxes of diplomas and other supplies relevant to graduation, using a hand truck.
