Responsibilities:

  • Facilitate a well-run office to ensure tasks are completed in a timely manner and customers are taken care of.
  • Answer inbound calls to the office and facilitate action on all customer inquiries (phone, email, web).
  • Ensure the office has the necessary supplies and is maintained in a professional manner.
  • Perform a variety of clerical, administrative and accounting related duties.
  • Process customer invoices and process vendor bills within QuickBooks.
  • Ensure timely collection of all customer invoices and payment to vendors.
  • Provide support in many areas related to ongoing projects.
  • Provide executive support as needed regarding emails, customers, travel, and other items.
  • Maintain files and directories to ensure data is easily accessible.
  • Support HR type tasks such as onboarding of new hires and all activities associated with new hires.
  • Provide support to engineers and project managers to ensure visibility to key activities, tasks, milestones and project profitability.
  • Develop standard SOPs and checklists to ensure timely, consistent, and repeatable processes.

Qualifications and Skills Required:

  • 5 or more years of related experience with a track record of success.
  • Proven experience as an Office Manager, prior work in an engineering or manufacturing company is a plus.
  • Excellent computer skills with proficiency in word processing, spreadsheets, and accounting software. QuickBooks experience is a plus.
  • Thorough understanding of office equipment (e.g., photocopier, printers, phones, etc.).
  • Strong communication skills, both written and verbal.
  • Excellent problem-solving skills and the ability to deal with stressful situations.
  • A positive, can-do attitude with the ability to be flexible to support the dynamics of the business.
  • Self-starter with initiative to get involved and support where needed.

Job Type: Full-time

Pay: $28.00 - $31.00 per hour

Expected hours: 40 per week
