What are the responsibilities and job description for the Registar position at Lackawanna College?

The College Registrar is responsible for the management and leadership of all administrative, technical, and operational functions of the office. As the custodian of academic records the Registrar has the responsibility of ensuring that all current and former student records are handled with integrity, accuracy, and security. The Registrar also develops, reviews and updates policies and procedures, and ensures compliance with external regulations. This position is responsible for overseeing the collaboration between the Registrar’s office with academic departments and administrative offices to ensure course schedules, final examination schedules, catalogues, etc. are updated, maintained, and communicated. The Registrar serves as advisor and counselor to students and college departments on academic matters, policy and regulation interpretation (for example FERPA) and ensures that the Registrar’s office overall delivers personal, hospitality-focused service to students, faculty, employees and administration.

ESSENTIAL FUNCTIONS:

1. Ensure all student records are maintained in accordance with federal and state regulations and College policies, from acceptance through graduation.

2. Plans, organizes and directs the department’s employees in the functional operations of the office (for example implementation of policies and regulations, processing/changing grades, monitoring academic progress, transcript requests, course registration, etc.).

3. Supervise registration of incoming and continuing students, transfer of credits and degree evaluations.

4. Oversee an efficient transcript evaluation and processing.

5. Ensure verification of student enrollment for outside agencies is completed timely and accurately.

6. Oversee creation of schedules each semester as well as grade submission.

7. Manage the degree audit system and certification of students for graduation/graduation clearance.

8. Maintain up-to-date course schedules, catalogs, final examinations schedules.

9. Manage efficient use of classrooms

10. Interpret and enforces academic policies and regulations of the College.

11. Serve as main resource for FERPA regulations.

12. Prepare comparative analysis and other reports and identify trends and required actions, keeping up to date on technology solutions for improving efficiency and effectiveness of the Registrar’s Office.

13. Develop and ensure compliance with annual department budget.

14. Lead the departmental planning process in alignment with the Institutional Strategic Plan, being sure to meaningfully engage staff members in each step of the process and facilitate the assignment of ownership for each activity related to the departmental plans and ensure that tasks are carried out as expected.

15. Collaborate with other departmental heads to ensure that overlapping or related initiatives are coordinated.

16. Participate in the Institutional Strategic Planning process as requested.

17. Assess achievement of departmental plans annually, formally report results to supervisor, and participate in the college wide review of departmental plans as requested.

18. Leads and serves on appropriate Academic and College Committees

19. Work during high impact periods, which include, but are not limited: annual forum, graduation, orientations, week prior to the start of the semester, first two weeks of the semester, and last two weeks of the semester. Occasional duties may be required during winter break.

20. Other duties and responsibilities as assigned.

EDUCATION:

  • Bachelor’s degree required.

EXPERIENCE:

  • A minimum of three years’ experience in higher education, preferably in Registrar office.
  • Successful supervisory experience required, preferably in higher education.
