Position: Secretary

Language: Bilingual required (English Portuguese or English Spanish)

SCOPE AND FUNCTION

Support the Director in-office programs and administration in all duties concerning the development and oversee the internal operation of the Center: Perform duties as assigned by the Director.

DUTIES AND RESPONSIBILITY

1. Be familiar with plans and priorities of the Center.

2. Be committed to Center's assumptions and operating principles.

3. Compose routine correspondence and reports.

4. Handle confidential material, memoranda, documents, new and revised procedures to be implemented.

5. Ensure records regarding payments for childcare services and professional services rendered by outside consultants and contractors and agency billings are maintained appropriately.

6. Computer literate and skillful. Knowledgeable in all office equipment for agency's programs.

7. Answer telephones, screen calls.

8. Make appointments and school tours.

9. Maintain inventory of all office and childcare supplies and orders as necessary.

10. Comply with all rules and regulations relating to health safety and security established for child care centers.

11. Attend meetings, conferences and other off-site assignments required by the Director and show willingness to share responsibility for projects.

SPECIFIC REQUIREMENTS:

1. Good organizational skills.

2. Ability to work independently and use initiative.

3. Ability to work as a team member.

4. Ability to respond to and communicate with persons at all levels and multicultural backgrounds.

5. Accountable to the Director of Center and/or person designated by the Director and in absence of the Director.

SPECIAL SKILLS:

Basic assembly language with word processing, spreadsheet, and database operation with various integrated software applications. Willing to be trained in childcare software.

QUALIFICATIONS

Minimum Education

- High School Diploma

Reporting Structure

The secretary reports to the Director and/or designee established by the Director.

Job Type: Full-time

Pay: From $15.00 per hour
