What are the responsibilities and job description for the Executive Assistant position at Leif Johnson Auto Group?
Leif Johnson Ford has been in business for almost 60 years. We are a family owned and operated business that has 3 Ford franchise dealerships and 5 Pre-owned locations in the Austin area. We pride ourselves in offering a no hassle and family oriented atmosphere. Looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s General Manager (GM). To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of Leif Johnson by providing personalized and timely support to the General Manager and finance administrators. Ideally, we would prefer dealership experience with extensive CDK knowledge.
Responsibilities
- Act as the point of contact for the General Manager
- Manage information flow in a timely and accurate manner
- Manage GM’s calendars and set up meetings
- Make travel and accommodation arrangements
- Track daily expenses and prepare weekly, monthly or quarterly reports
- Oversee the performance of other clerical staff
- Act as an office manager by keeping up with office supply inventory
- Format information for internal and external communication – memos, emails, presentations, reports
- Take minutes during meetings
- Screen and direct phone calls and distribute correspondence for the GM
- Organize and maintain the office filing system
- Perform minor accounting duties
