The HR Coordinator is responsible for providing administrative support to the Human Resources Department. The responsibilities include monitoring and timely response of multiple Human Resources email and phone lines, processing HR related documentation and administering onboarding programs to ensure all requests are addressed appropriately and timely. This position will be responsible for daily processing across multiple HR systems. The HR Coordinator with report to the Human Resources Director and assist in several HR related projects.
Responsibilities
- Administer the new hire and onboarding process (paperwork, background orders and other required documentation)
- Schedule and facilitate new hire orientation
- Administer onboarding surveys to evaluate and assess effectiveness of onboarding
- Process terminations, exit interviews, and internal termination documents
- Invoice processing
- Processing incoming mail
- Administer company-wide service award program while continuously evaluating and adapting the program to meet the company’s needs
- College recruiting – school registrations, prepare/mail supplies, maintain calendar, travel coordination, and other related duties
- Manage and respond to inquiries from various HR mailboxes and phone line
- HR portal – maintain the HR portal pages to ensure updated/accurate information. Develop communication/social media strategy, blog topics, administer the chat room, HR calendar, etc.
- HR online collaboration – maintain the online calendar of orientations, train other HR regions on use, SME for HR collaboration tools. Develop online collaboration processes & train regions on new methods for comp analysis requests, HR shared work space, documents center and other collaboration processes
- Responsible for creating engaging and informative monthly newsletter for Corporate Associates
- Responsible for ensuring all Associates remain compliant with company compliance trainings
- Responsible for ensuring candidates are reflected in the ATS throughout the onboarding process
- Responsible for ordering office supplies
- Utilizing the company Purchasing card to make electronic payments for business expenses as necessary
- Updating instructions of internal HR processes as necessary
- Tracking and submitting Associate Referrals
- Assist with HR reporting requests as necessary
Qualifications
- Currently a senior pursuing a Bachelor’s degree in Business Administration, Communications, HR, or related field
- Bachelor’s degree in Business, HR or related field preferred
- 1 – 2 years’ experience in administering HR programs or in an HR support role
- Experience with using social media to engage employees, customers or generate campaigns
Physical Requirements:
This is primarily a sedentary office position which requires the Human Resources Coordinator to have the ability to operate computer equipment, speak, hear, bend, stoop, reach, lift, and move and carry up to 25 lbs. Finger dexterity is necessary.
Additional Requirements:
- Advanced proficiency in MS Office, specifically Word, Excel and PowerPoint
- Requires experience with SharePoint
- Requires effective oral and written communication skills, and excellent interpersonal skills
- Must be well organized, flexible and have good organizational and planning skills
- Ability to handle multiple assignments and projects
- Must be able to think critically and independently
- Must operate with the highest level of integrity and maintain confidentiality
