Description and Requirements
The Project Coordinator (PC) serves as a liaison between our Segment Marketing, Integrated Marketing, and Marketing Operations teams. He/She fully understands our internal and alliance partner procedures and ensures assigned teams adhere to those procedures. The PC assures smooth workflow by managing project timelines, establishing priorities, scheduling meetings, and following up with each team member through all phases of the job. Most importantly, the PC is responsible for ensuring the job is completely on time and as efficiently as possible.
RESPONSIBILITIES
- Proactive liaison between all assigned segment and project team members to ensure the whole team is moving forward on the same page and that the details of projects are accounted for.
- Develop project timelines and ensure all team members are aware of and have agreed to those schedules.
- Coordinate internal reviews to facilitate approvals for key deliverables including creative briefs, creative materials, presentation materials and production materials.
- Maintain and archive detailed records of the life of a project and share information with core team proactively, including meeting/call notes following all internal reviews.
- Add projects to and maintain the current status of projects on a shared project management tool.
- Attend and actively participate in all necessary daily/weekly/monthly/quarterly status and workload review meetings.
- Compile materials for kickoff and midpoint meetings and assists teams with materials for internal reviews and presentations.
- Maintain project files on the server ensuring teammates may locate and access files independently.
- Communicate assignments to the appropriate people and follow through to make sure work is being done in a timely manner.
- Monitor progress of multiple jobs to ensure adherence to schedules by checking with all team members for problems that may arise; alert the appropriate individuals when there may be obstacles to getting the work completed.
- Provide quality control by ensuring work and presentations have been proofread and checked by segment management, integrated marketing, and other relevant stakeholders.
- Communicate workload and staffing needs proactively with director of Segment Marketing and Integrated Marketing.
- Champion, organize, and manage alliance submissions, adhering to guidelines and process.
- Maintain project statistics and forecast project resources as directed by management.
- Ensure efficient flow of activities on assigned campaigns and projects.

QUALIFICATIONS
- Bachelor’s degree required
- 2-3 years of experience in project/program management, account management, production or traffic management in a marketing organization
