SUMMARY

The firm’s Administrative Assistant is a customer service pro. The ideal person for this role will be client-friendly, positive-minded, tech-oriented, and loves creating an atmosphere where people feel well taken care of. This person builds trust and confidence with people by providing their full undivided attention. They cultivate an air of hospitality and go out of their way to ensure effective communication. An effective administrator is intentional about setting proper expectations. This person also has the business acumen and perception skills to recognize when needs are unmet or when dissatisfaction begins to set in. They work to prevent conflicts and minimize frustrations by taking an active role and intervening to promptly address concerns, ensure clear understanding, and strengthen relationships.

The ideal person for this role is highly motivated to positively impact others, exceptionally upbeat, and very organized with excellent people skills. The Administrative Assistant is often the first person that existing and prospective clients will have contact with. Also, this person in this role is relied upon in various ways by every member of the team. The Administrative Assistant plays a vital role in the firm's overall success by shaping first impressions, building good relationships, and strengthening those relationships over time.

GENERAL REQUIREMENTS

  • A positive attitude and deep commitment to relationship building, prompt and thorough follow-up, and exceptional customer service
  • Strong interpersonal skills and a warm and friendly demeanor, and perceptive enough to identify potential incongruences such that they intervene to prevent (or at least minimize) conflicts
  • Above average computer proficiency, with a functional understanding of computers, software, internet, email, copiers/printers, and multiple line phone systems
  • A reliable team player who enjoys working with and assisting others
  • Exceptional organizational skills and meticulous about ensuring the accuracy of details, and understands how to do things right and how to do the right things
  • A “hungry, humble, and smart” self-starter who is always on the lookout for opportunities to make a positive impact
  • Has the skill to adapt to fluctuations in the seasonal workflow, with an understanding of how to prioritize effectively
  • Exceptional listening and comprehension skills

Job Type: Full-time

Pay: $16.00 - $18.00 per hour

Expected hours: 40 – 50 per week
