We are currently seeking a Program Specialist to join our USC Digital Repository, a unit of the USC Libraries. The Program Specialist will be tasked will supporting the Operations Director and Project Manager in managing clients and projects. The Program Specialist will be responsible for administrative tasks including onboarding new clients, tracking services and billing requests, and responding to customer inquiries in a timely manner. He/she will ensure consistency regarding service delivery as well as support the Digital Repository management team.

This is fixed term position with an anticipated end date of September 30, 2024. This position may  extend beyond the end date.

The USC Libraries actively support the discovery, creation, and preservation of knowledge. We develop collections and services that support and encourage the academic endeavors of faculty, students, and staff; build a community of critical consumers of information; and help develop engaged world citizens. USC has 23 libraries and information centers and the USC Digital Library. 

Qualifications

  • Must have a Bachelor’s degree or equivalent combination of education, training, and experience
  • Minimum of 2 year of experience in an administrative support role
  • Must have experience managing budgets and tracking income and expenses
  • Must have experience working with vendors and contractors
  • Must possess strong written and verbal communication skills
  • Must have experience leading project teams and supervising staff
  • Demonstrated organizational skills, extreme attention to detail and ability to work both independently and as part of a team
  • Demonstrated strong work ethic and personal mastery, including ethics, interpersonal skills, and engagement in continuous learning.
  • Demonstrated planning, execution and multitasking skills and demonstrated ability to reprioritize on the fly. Easily manage quickly changing priorities while meeting deadlines
  • Ability to build and maintain strong working relationships with students, staff, and faculty
  • Highly proficient with Microsoft Office Suite including Word, Excel (critical), Outlook and PowerPoint

Job Accountabilities:

  • Provides a professional service such in support of a university program. Assists program management with administrative functions covering planning, budgeting, proposal development, and marketing of program services
  • Provides leadership, guidance and supervision to staff, student workers, volunteers, and/or graduate assistants. Leads others in the planning and delivery of services, activities and special events. Develops and conducts program-focused training and assesses proficiency or readiness of trainees
  • Provides historical data and projections for use in developing program budgets. May directly control a portion of the total program budget or assist with overall budget administration
  • Researches and identifies client or beneficiary needs and recommends program modifications or creation of new programs and services. Assists in the design and delivery of programs, services and special events
  • Tests and evaluates the effectiveness of existing program content and services. Recommends and implements modifications as necessary to ensure achievement of program goals and objectives
  • Interfaces with faculty, researchers and staff for committee work or information exchange regarding program services or content.
  • Researches the market and develops marketing strategies to promote program. Creates information materials and plans activities and events to support marketing strategies
  • Participates in the development and implementation of program policies and procedures
  • Assists in program fund-raising and development efforts. Researches and identifies funding sources. Contributes to proposal development by writing proposals or coordinating the input of others. Attends events to network on behalf of program services
  • Stays informed of developments in field. Reads pertinent literature, attends meetings and participates in professional associations as appropriate. Establishes and maintains an active network of professional contacts
  • Coordinates program services with other offices and staff on campus. Serves as a resource for program information. Represents program on university committees as requested
  • Performs other related duties as assigned or requested. The University reserves the right to add or change duties at any time

Preferred Qualifications:

  • Master’s Degree
  • Special education, licensing or certification requirements may exist for some positions based on program content and services

Minimum Education: Bachelor's degree, Combined experience/education as substitute for minimum education Minimum Experience: 2 years Minimum Field of Expertise: Directly related professional experience in program specialization, e.g., counseling or teaching.
