LOCATION: Manassas Park City Library

HOURS PER WEEK: 40

Position Summary:

This position is responsible for managerial support to all locations within a specified library system. The primary purpose is to provide excellent customer service and maximize efficiency of library workflow. The chosen candidate will also be involved with enriching the community by providing access to and assistance in acquiring information needed for self-directed personal growth, satisfying leisure experiences, and cultural understanding.

Essential Duties/Responsibilities:

An individual must be able to perform each essential duty and responsibility satisfactorily.

  • Liaise with internal staff at all levels
  • Oversee monthly report statistics
  • Facilitate new hire and termination process with HR
  • May supervise junior Library Associates and/or Library Volunteers which includes managing performance, evaluation, interviewing/hiring, training and approving timesheets
  • Accounting – maintain Library account receivables and expenses; this includes payment of invoices, credit card coding, check requests, petty cash disbursement, and review expense reports, provide supporting receipts, update and manage multiple budgets
  • Assist and provide administrative services such as attending committee meetings, coordinating preparation of manuals and coordinating other training and meetings
  • Maintain Library records, files and calendars
  • Prepare Library Board correspondence and reports such as monthly library statistics, monthly database statistics, and the annual state library report
  • Collect and organize data for various grants and projects as required
  • Order Library supplies as needed
  • Know, understand and administer the American Library Association’s Library Bill of Rights, Freedom to Read Statement and Freedom to View Statement, recognizing that freedom of access is a fundamental tenet of a public library; in addition to these freedoms, support client discretion of materials available at your local library(ies).
  • Follow all legal and policy requirements related to patron privacy and custodianship of patron records.
  • Assist Library Director with additional tasks as needed

Qualifications:

An individual should possess the knowledge, skills, and abilities listed and meet the amount of education, training and/or work experience required.

  • Bachelor degree required
  • Previous administrative duties required, minimum of 2 years experience as Administrator or office related experience
  • Detail oriented, have excellent communication skills and able to multitask
  • Proficient in Microsoft Office (Including Excel, Word, PowerPoint, and Outlook)
  • Be organized, possess strong writing skills
  • Ability to speak multiple languages preferred
  • Ability to work well independently or as a team

Physical Requirements:

  • Ability to sit for long periods of time and to maintain focus on projects such as computer screens or detailed paperwork.
  • Occasionally lift, push/pull, hold/carry of items weighing up to twenty-five (25) pounds such as files, books, and other materials.
