Job Summary:
Lima One Capital has an exciting opportunity for a Servicing Operations Quality Control and Exam Coordinator. This position plays a vital role within the Servicing Operations department and will work closely with the leadership of the servicing team to handle the coordination of all QC testing with our external vendor and acts as the single point of contact for all internal and external examination and audits. The QC and Exam Coordinator reports directly to the Manager of Reporting and Analytics. The position is directly responsible for the following activities:
Responsibilities:
Exam Coordination
- Be the appointed single point of contact (SPOC) and manage all external examinations – whether State or regulatory body, or other company required audits.
- Respond to all incoming inquiries timely in a consolidated fashion, coordinate the requirements gathering for responses, review all responses across departments to ensure consistency and completeness of responses, and that none conflict with each other.
- Perform required follow up to ensure compliance to any final issued findings or follow up requests to ensure these exams are closed out with no pending items.
- Recommend improvement/ development of processes, procedures, and training associated given the findings of all examinations.
Quality Control
- Monitor, design, develop, and oversee all quality control testing with a third-party QC Vendor.
- Coordinate the quality control program capable of evaluating and monitoring the overall quality on a regular and timely basis.
- Review results of any quality control testing to ensure the business unit is following through to remedy trends, while also providing adequate coaching and feedback to staff and managers.
- Ensure consistent improvement and adherence to SOP’s, or, if warranted, those SOPs are amended accordingly from QC results.
- Work with the Manager of Reporting and Analytics to develop and implement data quality standards, ensure data is useable and accurate, and identify data quality issues/gap with the intent of creating and applying action plans to remediate those issues/gaps
RCSA Oversight
- Review RCSA (Risks Controls Self-Assessment) process across all departments to perform the “challenge” function. Conduct exercise at desired frequency to ensure the RCSA process remains relevant and is being used by the department to improve controls to mitigate ongoing risk.
SOP Maintenance
- Review Standard Operating Procedures (SOPs) across multiple departments for consistency in format, risk management, and regular required updates with version control
- Routinely review SOPs to confirm adherence to State or regulatory body guidance and requirements. Perform sample testing as needed to confirm that SOPs are being followed in those areas that could generate risk exposure from non-compliance
- Review all routine outgoing correspondence (template emails, letters, notices) for compliance to State or other regulatory body compliance with version control
Skills Required:
- 2 year (s) of audit coordination, QC testing coordination, project management, or direct mortgage experience.
- Ability to work under minimum supervision and manage tight deadlines.
- Strong multi-tasking capabilities.
- Strong communication and organizational skills.
