We are searching for a Leasing Analyst who is a flexible self-starter and thrives in a fast-paced role, juggling multiple priorities across several markets. This is an exciting opportunity to support a dynamic leasing team and assist with the coordination and execution of all property and regional leasing initiatives and projects. Under the general supervision of the Senior Vice President, performs a variety of leasing, marketing, and administrative duties related to the leasing functions in support of the division’s leasing activities. The position can be based in either Southern or Northern California.
RESPONSIBILITIES
Leasing:
- Interface with leasing, marketing, legal, operations, acquisitions, and dispositions teams as it relates to all business park leasing, marketing and lease admin coordination for the division
- Initiate and manages all leasing workflows accurately
- Reviews all Business Parks Division Lease Package Requirements for completion prior to execution by SVP
- Assist with and coordinate the execution and delivery of asset management-related contracts (leases/amendments/consents, brokerage agreements, property documents, etc.)
- Participate in the annual budget and quarterly reforecast process.
- Assist with the preparation of presentations to the senior management team, board of directors, or third parties, as needed.
- Perform special ad-hoc projects and analyses as assigned.
- Coordinate with the leasing team on miscellaneous reporting and operational tasks.
Marketing:
- Assist with marketing of available space for lease utilizing all marketing avenues: CoStar, Loopnet, Broker e-blasts, Link Business Parks Division site, Edge, AIR, Crexi, Craigslist, etc
- Assist with CoStar/Loopnet, Edge and Business Parks Division site marketing updates, including property/space descriptions and photo uploads of available space
- Run Market & Submarket Reports
- Update & distribute availability reports
- Assist with broker functions as needed: lunches, golf tournaments
- Maintain and update broker databases
Operations:
- Receives and processes broker commission invoices for payment according to established procedures, including coding of invoices and submission for approval, as appropriate.
- Obtains and tracks new and renewal customer Certificates of Insurance and works with compliance to update information in the company’s internal insurance tracking system as needed.
- Compile supporting lease documentation as needed.
- Perform other special projects and duties as required by SVP
QUALIFICATIONS
- 1-3 years of administrative work experience and/or similar work experience as a Marketing Assistant, or Marketing Coordinator
- 1-3 years marketing experience
- PC literacy – MS Word, Excel, PowerPoint, Outlook - speed and quality of work imperative; PowerPoint preparation skills a must
- Must be able to work a flexible work a flexible schedule, as business needs require
- Ability to manage multiple assignments
- Requires proofreading skills with a high level of attention to detail
- Must be a self-starter with high level of motivation
- Ability to work independently
- Professional approach, proven good judgment, creative problem solving
- Ability to handle sensitive and confidential information
- Ability to adapt to changing responsibilities
- Excellent interpersonal skills; positive attitude
- Strong team player
- Knowledge and understanding of commercial real estate industry is a big plus
- Excellent written and verbal communication skills
ELIGIBILITY REQUIREMENTS:
- Must be willing to submit to a drug screen and background investigation
- Must have unrestricted work authorization to work in the United States
- Must be willing to work overtime with short notice
- Must have valid driver’s license
- Must have reliable transportation
