The Global Programs Coordinator will be responsible for 3 main areas: Semester Programs Coordination, Short‐Term Programs Coordination, and Marketing & Recruitment.
For Semester Programs, the Global Learning Programs Coordinator is primarily responsible for coordinating the stateside logistics of Lipscomb’s semester‐long study abroad programs (as well as the on‐site logistics for the programs when there is an absence of a permanent site director). This position is often administrative, with tasks related to program and project management.
International travel experience is required. The GL Programs Coordinator must have strong organizational, written and oral communication skills, cross‐cultural skills, and enjoy working with a variety of people.
Internal University Coordination:
- Work with the Registrar’s office and the faculty‐in‐residence to determine the academic course listing each semester. Share course listing with academic advisors.
- Coordinate student account charges, meal stipends, payment deadlines, and additional financial details with the Business Office.
- Communicate participant information with the on‐campus housing coordinator, the Counseling Center, and Student Life.
- Work with UCM to keep both digital and print marketing materials up‐to‐date.
- Regularly conduct information sessions and share program updates and marketing materials with Admissions.
- Track and prepare payments for invoices from academic partners (including local adjuncts, student housing, and academic facilities).
Student/Parent Relationship Management & Advising Responsibilities:
- Communicate with students individually and in groups to build campus awareness of GL opportunities and to help students select the appropriate programs.
- Attend information sessions for prospective students and their parents to build participation in GL opportunities (i.e. Admissions visit days and weekends; NSO and Quest Week).
- Advise students, faculty, staff and parents regarding Lipscomb’s administrative policies and procedures related to programming.
Additional Responsibilities:
- Work with the site directors to develop program calendars for in‐country courses and extracurricular activities.
- Work with the site directors to finalize program logistics: verify reservations, negotiate final prices and secure resources (instructors, guests, classroom space, group travel, housing, food, tickets, transportation, activities, etc.).
- Arrange for any advance payments or deposits; collect and pay invoices from vendors.
- Work with the Admin Assistant to maintain emergency contact information to keep on file for the duration of all programs.
- Assist with the planning and presentation of the pre‐departure student and faculty orientations (covering topics such as cross‐cultural adaptation, insurance, safety, local etiquette, etc.).
- Communicate regularly with parents and students via email to keep them informed about pre‐ departure responsibilities and program expectations.
- Lead group send‐offs at Nashville airport.
For Short‐Term Programs, the GL Programs Coordinator must have strong organizational, analytical, written and oral communication skills. Although the coordinator does not participate in the travel element of the short‐term faculty‐led programs, it is essential that the coordinator has traveled extensively to be able to advise in the areas listed below. He or she must also meet with faculty and maintain good working relationships with many departments on campus. Budget management is an essential component of working with faculty so Excel proficiency is a must.
The following is a non‐comprehensive list of the duties required:
- Work with Director to advise faculty leaders in the areas of budget, promotion, and execution of experiential summer (undergraduate and graduate) programs abroad lasting between 1‐8 weeks around the globe.
- Direct faculty leaders to Faculty Proposal Packet and planning resources. Ensure Dean and Provost have approved travel prior to student recruitment.
- Advise faculty on responsibilities and program logistics, especially in hub locations: verifying reservations, negotiating final prices and securing resources (instructors, guests, classroom, travel, housing, food, tickets, transportation, activities, etc.)
- Work with GL Administrative Assistant to manage the student information database. Ensure all students have necessary travel documentation such as passports.
- Work with GL Administrative Assistant on marketing, student recruitment, newsletters, social media, etc. Faculty are mostly responsible for their own student recruitment but the GL Home
- Office should provide auxiliary support.
- Finalize the program budget alongside faculty and make adjustments based on enrollment, final logistics, and university policies.
- Communicate billing and registration information to the Bursar (Business Office), Registrar, and Financial Aid
- Assist or deliver (depending on faculty/department) pre‐departure training workshops and informational sessions on cross‐cultural adaptation, insurance, visas, safety, and local etiquette for students, faculty and staff.
- Manage and coordinator Villa bookings for summer months
- Train faculty leaders on accessing Emergency Contact Information and student travel information during independent travel.
- Inform faculty leaders of the university’s Risk Management procedures and accessing medical and emergency assistance while abroad. Point of contact for emergencies along with VP of Risk Management (Kathy Hargis). Be up‐to‐date on world and local news to maintain current knowledge of any situations that would require limiting student movement/travel or increasing safety precautions.
For Marketing and Recruitment, the GL Programs Coordinator should work with the Director of Global Learning to meet program enrollment goals. A non‐exhaustive list of responsibilities include:
- Develop advertising strategies, design marketing messages, and maintain all marketing and branding tools to enhance the positioning of Lipscomb Global Learning publications, mass mailings, Lipscomb Global Learning events, etc.
- Understand audience interests and develop persuasive messages for targeted audiences.
- Develop and design Lipscomb Global Learning recruiting publications and program‐specific publications, including researching and writing content, in conjunction with Lipscomb Marketing.
- Coordinate with the Lipscomb recruiting and admissions staff to develop and execute marketing strategies to future Lipscomb students.
- Work effectively with a variety of partners (including internal departments and external vendors) to develop and deploy communications.
- Oversee and implement strategies for social media content and marketing.
- Monitor and director work to student workers, particularly in regards to social media, events, student recruitment, and community engagement.
Experience:
- Bachelor’s degree
- Must have participated in a study abroad program for at least one semester
- 2‐4 years of experience with planning logistics or marketing
