What You Will Do
This position (2) will be filled at the Operations Support Specialist level 2/3 and will receive direction from a Project-Program Director or designee within the Program Assurance Office (PAO).

Join the Program Assurance Office (PAO) within the Associate Laboratory Directorate Weapons Production (ALDWP). This challenging and exciting assignment provides an opportunity to contribute significantly to support a key organization responsible for maintaining the U.S. nuclear weapons program. The Program Assurance Office (PAO) provides standardized program management processes, systems, and tools across the ALDWP to drive consistency, improve efficiencies, and enable better integration of scope and deliverables to meet the NNSA/DOE customer expectations.

Specifically, this role will be responsible for helping bring positive change across the ALDWP by supporting the consistent application of standard tools, processes, and documentation.

Operations Support Specialist 2 ($67,800-$107,700)

As an Operations Support Specialist (OSS), the selected candidate will report to a Project-Program Director or designee and will be expected to operate with initiative, professionalism, dependability, and flexibility within a dynamic organization. Specific duties of the position include but are not limited to the following:

Assist in implementation of new ALDWP initiatives in support of the LANL mission through development of strong working relationships that span across existing internal and external stakeholders.

Support change management efforts through a challenging business culture shift in ALDWP through coordination of semi-technical and advanced operational and business tasks to include assistance for monthly reporting requirements and maintenance of existing metrics/dashboards.
  • Develop and distribute high quality communication correspondence such as memos, letters, presentations, and graphics in support of ongoing development of standardized program management processes, systems, and tools.
  • Assist with maintenance of SharePoint sites, website, and the Electronic Document and Records Management System (EDRMS) document repository.
  • Provide administrative support for PAO hosted events (workshops, meetings, and trainings).
  • Manage independently a broadly defined scope of work with fast changing priorities.

Operations Support Specialist 3 ($81,700-$133,100)

In addition to what was outlined at the lower level, at this level the candidate is expected to perform these duties:
  • Contribute to the broader PAO Team including specialized knowledge supporting Standards, Baseline Planning, and Risk Management and serving as a resource for advanced level support on institutional initiatives.
  • Demonstrate leadership skills with the ability to make connections, influence discussions, and guide progress without direct control over staff and other resources.
  • Collect, assemble, and prepare data for monthly reporting requirements.
  • Author organizational correspondence to include memos, letters, reports, and presentation material to inform ALDWP managers and stakeholders of PAO initiatives.
  • Coordinate, in a lead role, resources and manage logistics for PAO hosted events to include workshops, meetings, and trainings working closely with PAO management.

What You Need

Minimum Job Requirements:
Experience working within a large, complex organization.
  • Working knowledge of a broad range of program assurance processes, including for example:
  • Operational support in the form of procedure maintenance, compliance tracking, data compilation and manipulation.
  • Knowledge of and the ability to maintain existing metrics/dashboards.
  • Solid communication skills, including reading comprehension, oral presentation, and written (narrative and graphics).
  • Excellent interpersonal skills as demonstrated by experience interacting with all levels of personnel and customers.

    Additional Job Requirements for Operations Support Specialist 3:

    In addition to the requirements outlined above, qualification at the higher level requires the below:
    • Experience serving in a lead role for the organization of workshops, meetings, and trainings.
    • Demonstrated experience authoring correspondence for a wide audience to include senior management.
    • Demonstrated experience using MS Visio to develop workflow diagrams and other graphics.
    • Advanced experience using MS Excel.
    • Familiarity with MS Power BI, MS Access, MicroStrategy or similar toolset.

    Education/Experience at a lower level: The position requires an Associate's Degree in a relevant field from an accredited institution and 4 years of directly related experience; or, an equivalent combination of education and experience directly related to the occupation. This position may be subject to DOE Order 426.2, Personnel Selection, Training, and Qualification Requirements for DOE Nuclear Facilities. This DOE Order establishes entry-level requirements to ensure employees in the positions can successfully perform the job requirements.

    Education/Experience at a higher level: The position requires a Bachelor's Degree in a relevant field from an accredited institution and 5 years of directly related experience; or an equivalent combination of education and experience directly related to the occupation. At this level, post-graduate coursework may be desirable. This position may be subject to DOE Order 426.2, Personnel Selection, Training, and Qualification Requirements for DOE Nuclear Facilities. This DOE Order establishes entry-level requirements to ensure employees in the positions can successfully perform the job requirements.

    Desired Qualifications:
    • Knowledge of a broad range of office and work productivity systems, including but not limited to:
    • Advanced experience using computer software applications (e.g., Microsoft applications to include PowerPoint, Outlook and full calendaring use, WebEx, SharePoint, Adobe applications).
    • Advanced skill level in MS Power BI, MS Access, MicroStrategy or similar toolset.
    • Experience using an electronic document and records management system such as EDRMS.

    Work Environment:

    Location: This position will be located in Los Alamos, NM.

    Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory.     Additional Details

    Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

    Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

    *Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

    New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

    Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
