At a Glance! The Executive Assistant for the Vice President of Student Services sits at the cornerstone of a large and dynamic student services division. Providing direct support to the Vice President of Student Services and overall support to the division, we are seeking a detailed-oriented, organized, and highly collaborative individual. The Executive Assistant must possess strong computer skills and quality customer service, communicate effectively, and thrive in an environment with many interruptions. The EA works collaboratively with the campus community and students, and manages complex tasks in a collaborative, organized and strategic manner.

The EA contributes to a welcoming, inclusive environment at LCC by providing high quality customer service to LCC students, faculty and staff, and contributing to a holistic student support experience.

The Executive Assistant is responsible for providing confidential administrative support to the Vice President of Student Services (VPSS) and the Student Services Leadership Team. The Executive Assistant works with the VPSS to produce and monitor the division budget, serve as a liaison to coordinate activities with other departments, manage special projects, and ensure that critical processes and services are maintained and delivered. This position requires strong customer service and a commitment to diversity, equity and inclusion practices.

The Executive Assistant position is 40 hours per week. The typical schedule is Monday through Friday, 8:00 am to 5:00 pm. This position is exempt under FLSA and reports to the Vice President of Student Services.

Examples of Duties & Responsibilities
You will have the opportunity to:

  • Provide confidential administrative support for the VPSS and the Student Services Leadership Team on matters related to personnel, budget, evaluation, confidential communications, and other aspects of the operation of the department
  • Manage communications with VPSS, make appointments, assist with the maintenance of the VP's calendar, screen and answer questions, and makes referrals as appropriate
  • Serve as a liaison with the Administration and Instruction divisions on matters related to Student Services operations, policies, procedures, budgets, contracts, purchasing, special events, and academic calendar development
  • Act as a liaison for the VPSS with the college community, students, members of the community, and other educational organizations and state and federal agencies
  • Demonstrate respectful and inclusive communication and commitment to ongoing learning and engagement with diversity and equity practices
  • Monitor and maintain the budget for the division, including verifying funding availability for expenditure requests, reconciling credit card purchases, equipment requests and purchase of supplies and equipment
  • Provide administrative support for standing committees, such as the Academic Standards Committee, Student Services Council, Student Services Leadership Team, and Commencement Planning, and participates on campus committees as assigned
  • Work closely with the Student Conduct Officer to manage case files and correspondence with students involved in the code of student conduct process
  • Compose, prepare, transmit and maintain confidential and sensitive information, correspondence and files
  • Coordinate department meetings, create agendas and take and distribute minutes
  • Make airline and other travel arrangements for the division and maintain travel records
  • Prepare and coordinate publication of documents, flyers and brochures regarding Student Service programs, services and policies
  • Coordinate special events and activities, such as Commencement, and various state council meetings
  • Interview, hire, train, schedule, direct and evaluate work of office support staff; maintain and verify staff allocations and timesheets
  • Understand and apply current policies and procedures and standards of ethical conduct as prescribed by state and federal law
  • Understand, apply and stay current with computer technology applications and software
  • Provide high quality customer service
  • Promote and enhance data-informed practice under a continuous improvement model
  • Use an equity framework for assessment, evaluation, recommendations and processes
  • Regularly integrate learning from professional development
  • Assist the VPSS in planning, designing, implementing and evaluating effective programs
  • Perform other related duties as required

Typical Qualifications
Minimum Qualification:

  • Associates degree and three years of progressively responsible experience supporting a senior level manager or administrator including office, secretarial, bookkeeping, accounting or general administrative work OR equivalent combination of education and experience
  • Excellent planning, organizational and communication skills, including speaking, listening, and writing, and effective handling of sensitive and confidential materials, and detailed
  • Demonstrated experience with working effectively with diverse groups and individuals
  • Excellent computer skills (Windows, MSWord, Excel, PowerPoint, Google Apps and Outlook, and specialized software such as Peoplesoft and web enabled management programs)
  • Ability to meet multiple deadlines while paying attention to detail
  • Ability to deal with difficult and sensitive situations with tact and diplomacy
  • Previous experience managing a multifaceted work environment working independently and as a collaborative team member

Preferred Qualifications:

  • Bachelor’s degree
  • Experience working in an institution of higher education
  • Bilingual or fluency in other languages
