Summary of Position Performs routine (journey-level) inventory and asset management work. Maintain asset management system and reports. Monitors asset and inventory operations for compliance. Works under moderate supervision, with some latitude for the use of initiative and independent judgment. Perform a variety routine daily task but may often reply on direction from others to solve problems that are not standard. May assist others in performing work of greater complexity.
Examples of Work:
Maintain procurement records of purchases, assign inventory numbers and asset tags to all fixed assets, maintain asset inventory control records. Maintain inventory files and prepares reports for the Administration Business Operations Department as well as other departments, Finance, Executive Office, etc., as required. Conducts physical inventory of the all the Organizations departments and ensures all department personnel as correctly assigned their respective tools, equipment, furniture, etc. Compiles and maintains the Organizations asset management database. Conducts Asset Exit Reviews on the event any personnel leaves the Organization and reports to Human Resources and Business Operations department with any discrepancies. Properly disposes of surplus property, must comply with the Organizations and Funding Agency’s policies and procedures for disposal. Disposal will need to be determined on a per asset type basis and will require department head and Business Operations approval. Disposal type may include but not limited to, donation, auction, or recycling. Monitors interdepartmental asset transfers and maintains files and records of such transactions. Monitors asset loss prevention and reports any misuse and/or abuse of Organizations assets to management. Assist with other aspects of the Business Operations Department including but not limited to, Board room setups, equipment connections and troubleshooting, lawn care, janitorial support, pest control, general building repairs and maintenance, IT phone and systems support. Maintains the Organizations storage areas (including any off-site storages) clean, organized, and free from clutter. Assist with receiving inventory or shipments which will require the loading and unloading of equipment, furniture, or any other merchandise. May assist the Organizations departments in setup up equipment and furniture as needed. Will require to travel to the Organizations sites and submit travel expenses on a timely basis. May be required to move or rearrange equipment and office furniture, etc. Performs related work as assigned.
Experience and Education:
Experience in inventory and asset management work. Graduation from a standard senior high school or equivalent is generally preferred. Experience and education may be substituted for one another.
Knowledge, Skills, and Abilities:
Knowledge of asset management methods and procedures, inventory and asset control record keeping, customer service, and standard business practices. Must have a good understanding of office equipment and their functionality. Skill in the use of computers and their components as well as applicable software. Proficient with Microsoft Office Suite software, Outlook, Excel, World, PowerPoint, etc. and the use of Adobe Acrobat Pro. Ability to transfer assets from one location to another and be able to lift up to 50lbs, to review Organizations operational procedures for compliance, to follow prescribed asset and inventory control standards, and to communicate effectively. Able to use ladders and tools, including power tools for the assembly of equipment and furniture.
