The Associate Director of Student Financial Services/Assistant Bursar is the primary contact for all operating functions in the Office of Student Financial Services and will direct and manage the business functions in the office. The Associate Director of Student Financial Services/Assistant Bursar will also ensure integrity and daily operation of the billing and accounts receivable systems. Position Specific Accountabilities 1. Responsible for the management of Student Accounts, Cashiering and Audit. Oversee daily operations including but not limited to cash handling, bank deposits, payment processing, collections, staff training and supervision, communications and customer service. Monitor and maintain the integrity and accuracy of the Student Financial Services (Ellucian-Banner) Module. 2. Serve as lead for the setup, maintenance and testing of the Student A/R Module (Ellucian-Banner) and all other systems used in the office as well as all external interfaces with our office. 3. Develop, modify, and initiate operational procedures to improve efficiency, meet department functional objectives and address staff development. Resolve operational issues as they arise and ensure quality control and auditing mechanisms are in place and monitor them accordingly. 4. Responsible for maintaining, updating and creating as needed, all Student Financial Services procedural manuals. Establish billing controls, create and modify complex billing population selections. Generate multifaceted billing outputs using Ellucian (Banner) and Evisions Form Fusion. Develop, generate and maintain, databases, worksheets and reports and reporting systems as needed for day to day functional operations as well as for statistical analysis and business process improvement. 5. Responsible for coordinating Student Financial Services orientation presentations, and representing Student Financial Services at the various sessions. 6. Represent Student Financial Services at conferences, informational workshops, preview day, open house events, vendor relations or as needed to support the mission and goals of LMU and the Office Student Financial Services. 7. Responsible for overseeing the Student Financial Services website by ensuring all contentment is updated accordingly each semester, and ensuring new content is created as needed and make recommendations for improvements. 8. Assist, advise and make recommendations related to customer complaints, agreements, and resolutions. 9. Administer exceptions to policy related to student payment plans and financial clearance for students with exceptional circumstances. 10. Attend intra-departmental meetings with, or in the absence of the Director of Student Financial Services/Bursar. Analyze problems and initiate resolutions. In the absence of the Director of Student Financial Services provide University administrators input for critical decisions as they relate to Student Financial Services. 11. Requisite Qualifications · Typically a Bachelor’s Degree or comparable work experience. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes. · Minimum five years working in financial services department preferably in accounts receivable. University experience preferred. Excellent skills in customer service, time management, human resourcing and team building. Sufficient knowledge of accounting to maintain and develop statistical worksheets and databases. Proven supervisory skills. · Demonstrated knowledge in the areas of: Working knowledge of accounts receivable accounting and collections procedures. Understanding of university financial aid, registration, and admissions practices preferred, · Demonstrated strong and proven leadership and technical skills. · Proven ability to analyze system problems and generate viable solutions. Identify systems enhancement opportunities and make recommendations to management. Ability to identify internal accounting weaknesses and make corrections. Convey financial information to other departments in an understandable manner. Ability to train and convey technical information. Ability to multi-task and work well with a diverse population of faculty, staff and students in a very fast paced environment. · Excellent written and verbal communication skills. Demonstrated computer skills to operate network desktop applications, computer peripherals. Perform mathematical computations and accounting procedures related to system development. · Demonstrated knowledge in administrative ERP systems, Windows, MS Office Suite, with emphasis in Excel, Word, PowerPoint, SQL, MS-Access, FTP and Unix JCL. Experience in working with Ellucian (Banner Student Systems) and Workday Financials to maintain and develop databases, worksheets, reports and reporting systems. Preferred.
