***This is a full-time, day shift position.***


The Receptionist is responsible for receiving incoming and placing outgoing telephone calls in a prompt, courteous, and professional manner. Greets patients and visitors in a courteous and friendly manner using AIDET and supporting organizations patient satisfaction initiatives and goals Schedules patient appointments following medical practice procedures. Collects co-pays and balances from patient.


Essential Duties & Responsibilities:

  • Acknowledges every patient encounter
  • Upon patient registration, inform patient of any delays, and continue to update if delays continue
  • Schedules appointments in computer system ( Cerner Ambulatory)
  • Document messages in appropriate area of computer system to relay to the clinical staff or physician
  • Prepares end of the day reports and deposit slip
  • Labels and Scans appropriate documents into EMR, according to established guidelines
  • Greets patient and visitors in a courteous and friendly manner while using AIDET. Keeps patients informed on status of appointment at all times.
  • Arranges patient appointments and reports for physicians. Communicates with clinical staff or physicians regarding any patient not able to be worked into the physician’s schedule.
  • Tracks physician’s time off and keeps Clinic Manager informed.
  • Answers all incoming telephone calls in a timely matter while using proper etiquette at all times.
  • Communicate patient messages to appropriate personnel/provider using EMR.
  • Obtains accurate information consistently for insurance and billing purposes to ensure that the practice produces a “clean” claim.
  • Obtains necessary information in a courteous manner in order to register new patients. Verifies patient’s benefit status and collects the patient’s portion of charges, whether a copayment, percentage, or the entire amount.
  • Collect co-insurance, co-pays, or balances upon patient arrival.
  • Sets up new accounts (patient demographics and insurance information).
  • Scans patient driver’s license and Insurance card into electronic medical record while verifying accuracy of information. Obtains electronic consent for treatment at each annual patient visit upon registration and completed pertinent HIPAA and Financial Policy paperwork scans into electronic medical record.
  • Analyzes the physician related information on the charge ticket with that of the source of document (progress note/chart) to verify information if necessary.
  • Performs data entry of all provider verified and completed fee slips for office visits and/or procedures, if applicable
  • Runs daily schedules for following day appointments and as needed in preparation of possible electronic medical record downtime.
  • Assists billing staff with insurance payment as needed. Track procedures performed by clinical staff to assure billing performed.
  • Assists billing staff with insurance follow-up as needed.
  • Balance daily payment posting and prepare deposits according to policy
  • Telephones patients to remind of scheduled appointments according to established guidelines and and informs patients of any outstanding balances as well as expected fees to be collected at the time of service.
  • Works daily automated appointment reminder report(s) to support no-show/last minute cancellation goals of the provider/organization.
  • Completes and submits prior to deadline the month end production recap form in conjunction with Clinic Manager or designee
  • Verifies the patient’s insurance information to ensure that the practice can see the patient and and their insurance can be billed.
  • Checks the patient’s financial status at the practice to avoid making routine appointments for patients in collections or dismissed from the practice
  • Communicates to patients who are making appointment the practice’s requirements for pre-authorizations, referrals, payment at the time of service.
  • High School Diploma or GED equivalent.
  • Excellent organizational skills.
  • Tact and diplomacy.
  • Able to work well under pressure.
  • Experience in customer service, preferably in a health care environment.
  • Experience in an appointment scheduling position, preferably in a medical practice setting.
  • Ability to use multi-line phone system, including transferring calls & paging.
  • Adequate hearing to answer phone and speak with patients.
  • Ability to speak clearly and loudly enough to be heard by callers and patients.
  • Skill in communicating effectively with physicians/clinicians about scheduling preferences.

Preferred:

  • Knowledge of medical terminology
  • Previous public relations work
  • Data entry skills
  • Computer skills

Salary : $25,900 - $32,800
