CAREER PROFILE
Purpose of Administrative Support Specialist
The Administrative Support Specialist will collaborate closely with inside sales including post sales follow-up, Customer Service and CRM file management, data analysis, and reporting with support to the Operations and Sales Groups.
Job Responsibilities
1. Inside Sales Management
- Support of all RAVAS product lines
- Coordination of Departments including Administrations, Sales, Finance, and Purchasing
2. Customer Service
- Ensure a successful Customer Experience through timely communication and interaction
- Collaborate closely with inside/outside sales
- Support Teams consistently and professionally
- Prioritize cases and incidents in a timely and professional manner
- CRM
- Update data consistently and accurately
- Prepare necessary reports and data as requested to include sales cycles and quoting
- Maintains accurate records of customer correspondence to include phone and email communications
3. Project Management
- Cross-functional delivery including internal and external communication and data sharing
- Ensure commitments to timelines and quality metrics
4. Administrative
- Greet visitors and maintains a positive and welcoming experience
- Answer phone and email communications professionally and in a timely manner
- Maintain schedules and calendars as requested; coordinate and facilitate meetings
- Process mail and small shipments
- Create and maintain filing systems; both electronic and physical
- Assist Accounting Department
5. Communication
- Consistent and clear communication with Management and Production Teams
- Feedback of errors, problems and improvements
Other
- Compliance with safety, health and safety and quality regulations
- Keeping the equipment and the workplace clean
