Job Purpose:

The Executive Assistant to the CEO is responsible for the orchestration of daily operations and management of the Office of the CEO. The EA is responsible for complex calendar management, extensive travel management, meeting, and conference management. Must be well organized, possess outstanding administrative skills, and be able to communicate professionally with senior level executives. The position involves a high degree of confidential information. The role will support several members of the senior executive team with a wide variety of tasks including extremely complex and ever-changing calendar management, travel coordination, meeting and event preparation and support. The Executive Assistant should be comfortable with taking responsibility for all aspects of support. You will be adept at relationship management both internally with the team and externally. The EA should be ruthlessly organized with an unflappable ‘can do approach’, sense of humor and killer eye for detail as you will have to juggle numerous tasks.


Essential Duties & Responsibilities:

  • Maintain contacts and calendar, appointment scheduling, conference/meeting arrangements
  • Handle logistics associated with meetings, appointments, conferences, events, etc.
  • Manage and prioritize incoming and outgoing communications, including external and internal email, telephone calls, etc.
  • Make travel arrangements, confirm meetings, and create itineraries for trips
  • Maintain and track expenses and complete detailed expense reports for the CEO and several other members of the Sr. Exec Team.
  • Follow up on various activities to ensure closure, completion, and deadlines are met. May include weekly conference call/meeting, requests for information, projects, programs, events, etc.
  • Create and maintain organized office filing systems for the CEO
  • Work independently on specific projects as assigned
  • Additional Executive Assistant responsibilities as needed upon request.


Minimum Qualifications & Competencies:

  • Bachelor’s degree from a 4-year College or University or equivalent experience
  • experience as an Executive Assistant
  • Good communication skills, both written and verbal
  • Demonstrated proficiency working with Microsoft Office (Outlook, Word, Excel, and Power Point)
  • Expert calendar management for the CEO and executive Vice President’s
  • High proficiency working with smart phones i.e., iPhones
  • Expertise managing travel and various business expenses using Concur, Expensify or another Expense Management System
  • Experience coordinating complex travel arrangements independent of a corporate travel partner
  • Utmost discretion/confidentiality in all aspects of the job
  • Able to adhere to project timelines and meet deadlines
  • Detail oriented with exceptional organization and task management skills
  • Demonstrated experience in showing tact and good judgement in confidential situations and experience interacting with senior management.
  • The ability to coordinate multiple projects with competing priorities as well as perform daily tasks with confidentiality and discretion is required
  • Must be detail-oriented, exercise good judgement, and work as a team player in a fast-paced environment.
  • Must be consistently punctual and able to work flexible hours, possible evenings, and weekends as needed.
