Assistant Dean – School of Science
Job Description
The assistant dean is a leadership position that reports directly to the dean of the School of Science and provides oversight and direct support for all matters of student support and academic success. The assistant dean supports the dean, department chairs, and the faculty in providing an outstanding educational experience for students. The assistant dean must be able to work independently and in collaboration with other administrators, faculty, and staff in resolving students’ academic, social-emotional, and behavioral issues.
Assistant Dean Responsibilities:
Student Academic Progress
Advise students and guide them with planning, preparing and following their academic programs
Offer advisement with personal, social, and emotional difficulties
Support student recruiting and orientation
Monitor grade and academic progress, registration, retention, and graduation clearance
Facilitate interschool transfers, study abroad opportunities, and internship possibilities
Collaborate on retention strategies
Student Records and Systems
Monitor and support student success and progress, including the college’s degree auditing system (DegreeWorks)
Create and maintain coding/scribing of all science programs, including majors in both B.S. and B.A. degree tracks as well as minors and concentrations
Responsible for inputting all curriculum changes, new programs, updates and variances to existing programs
Responsible for maintaining the integrity of the programs
Create and/or oversee materials for student advisement which include orientation materials, registration packets, and instructions to faculty advisors
Presents student and faculty workshops on registration procedures
Transfer Evaluations
Evaluate transcripts for potential transfer student admission and for students who have credit from other schools
Confer with chairs of departments on evaluations and potential programmatic adjustments
Meet with transfer students in one-on-one sessions for credit evaluations, scheduling and academic orientation to the college and the School of Science
Student Success
Integration of Jasper Connect student success program into work flow including timely follow-up of student referrals and following up with other offices as needed
Meet with students individually to evaluate and assess students’ needs and direct students to appropriate support services
Data and Reports
Access and prepare data reports for the evaluation of student enrollment
Analyze numerous data points to tailor and create freshmen schedules
Run data reports at midterm and end of the semester and follow up with letters regarding students’ academic progress
Run reports and evaluate student eligibility into honor societies
Interdepartmental Activities
Act as a liaison to collaborate with other departments and offices on matters pertaining to student records and success including department chair meetings, retention meetings, assistant dean/academic advisor meetings
Interface with the registrar’s office, student success, financial aid, admissions, career pathways, athletic advisement, etc.
Serve as a resource for faculty, communicate regularly with faculty regarding student issues, new policies and procedures
Family Support
Address and resolve parental concerns regarding the FERPA policy, a student’s success, financial liability, physical and mental well-being
Explain policies and procedures and provide support and encouragement to parents
Present parent information sessions during orientation events
Dean Support
Work with the dean to maintain and enforce curriculum rules and required academic standards
Act on behalf of the dean on student academic issues in his or her absence
Address other responsibilities as assigned by the dean
Skills Required:
Strong oral and written communication skills
Strong understanding of and ability to apply knowledge of student support services and demonstrated ability to develop programs, policies and procedures for continual improvement
Strong interpersonal skills to establish and maintain effective working relationships with a wide variety of stakeholders
Ability to balance multiple tasks at one time
Ability to resolve contentious situations in a professional manner
Ability to use the Microsoft Office programs of Word, Excel, and PowerPoint
Familiarity with assorted college software packages (Ellucian Banner, Self Service, DegreeWorks, BDMS, and Argos systems)
Minimum Qualifications:
Master’s degree (preference given to those with a Master's degree in higher education, social work, counseling or related field)
At least five years of experience in higher education relevant to academic policies, administrative processes, and student advisement
