Job Description


Looking to do meaningful work helping others in the community as an Executive Assistant?


Maple Star Colorado, part of Pathways – one of the largest national providers of accessible, outcome-based behavioral and mental health services, is in search of an independent, organized, professional Executive Assistant.


About your Role:


The Executive Assistant is responsible for support to the Executive leadership team including various administrative supports across programs including activities such as scheduling, records maintenance, and data tracking. This position supports the agency’s essential duties, supporting leadership and various programs through report tracking and dissemination including billing and uploading reports to various County and State databases. Support all agency Directors with administrative tasks such as note taking, new hire orientation and enrollment in to required systems, and support with referral management. The duties of the Executive Assistant includes but is not limited to:


  • Maintenance of master forms and policies including but not limited to all required updates requested by executive leadership. May include designing the form to meet the parameters outlined by leadership in addition to making specific changes requested to existing forms or documents.
  • Creation and maintenance of systems for tracking of various agency level activities including credentialing, licensure, contracts, and insurance
  • Coordination of Supervisory, Directors and all staff meetings, including by not limited to scheduling, invitations, agenda building, attendance and meeting minutes.
  • Scheduling of meetings and travel for any Executive Leadership as needed to support work functions and responsibilities
  • Regular review of agency reports on HR and Payroll categories and processing to insure accuracy and timely processing
  • Contracts approval routing, distribution and tracking
  • Website maintenance point person
  • Support with social media


Does the Following Apply to You?


  • Minimum of High school diploma (or equivalent) with (1) year of relevant experience in serving as an administrative assistant desired
  • 1 years of relevant experience, including experience with applications such as Microsoft Excel/Word, Adobe/FOXIT, data entry in electronic health record systems, adequate typing skills, and basic computer skills
  • Experience providing customer service preferable
  • Experience working for a HIPAA covered entity preferable
  • Proof of valid Driver License with clean driving record, as well as valid auto insurance
  • Ability to pass fingerprinting and background checks

Qualifications

  • Minimum of High school diploma (or equivalent) with (1) year of relevant experience in serving as an administrative assistant desired
  • 1 years of relevant experience, including experience with applications such as Microsoft Excel/Word, Adobe/FOXIT, data entry in electronic health record systems, adequate typing skills, and basic computer skills
  • Experience providing customer service preferable
  • Experience working for a HIPAA covered entity preferable
