Position Summary
The Loan Doc Prep Specialist is responsible for preparing loan documentation for consumer, commercial, and agricultural loan products. This position will provide a wide range of support to loan officers, loan assistants, personal bankers, and the loan operations officer by preparing loan documents, exporting loans onto the core banking system, and facilitating with the e-sign and document imaging processes.
Primary Accountabilities and Responsibilities (95%):
Accountability 1: Loan Document Preparation. The Loan Doc Prep area is responsible for producing consumer and commercial loan documents such as notes, collateral documents, appraisal disclosures, regulatory disclosures, extensions, renewals, and change in terms agreements in an accurate and timely manner; communicating closely with lending officers, assistants, and personal bankers to ensure documents are prepared efficiently and accurately, and that all required documentation is in place prior to funding so that exceptions are avoided; ordering flood determinations as needed; processing adverse action notices and documentation for withdrawn applications. This requires the person to become a specialist in our loan origination software and gain a vast knowledge of compliance and regulatory requirements.
Accountability 2: Perform loan document e-sign functions. These duties include but are not limited to: Creating the loan document e-sign package and sending it to the borrower(s) to obtain signatures; tracking to make sure completed signed packages are returned to the bank; uploading electronically signed documents into the loan imaging software.
Accountability 3: New loan export. This includes uploading the loan from the loan origination system to the core banking system, verifying the uploaded fields are accurate according to the signed documents; entering accurate HMDA data into the LOS system for loans that qualify under Reg C.

Secondary Duties and Responsibilities (5%):
- Maintain good working relationship and communication with staff from all bank departments/locations.
- Provide assistance as needed with the functions and processes of the loan area in all office locations.
- Utilize bank technology to its fullest and continuously seeks ways to be more efficient and less paper driven.
- Employee will be responsible for completing applicable annual training as required by compliance laws, regulations, and bank policy.
- Comprehend and comply with all pertinent Bank Secrecy Act/OFAC/CIP policies and procedures. Complete annual training.
- Other duties as assigned by supervisor relating to the bank and its function including project work.
- Associates Degree preferred, however a High School Diploma or a GED with applicable job experience is also acceptable.
- Brings a positive can-do attitude and is a change leader that loves technology.
- Ability to understand and adhere to policies, procedures, regulations and laws for the department and the organization to protect assets and reputation of the bank.
- Demonstrate accuracy, thoroughness, and attention to detail to ensure quality.
- Competence with computers, with knowledge of MS Office, telephones, video conferencing; and other office machinery. Knowledge of loan documentation systems and software such as OpenClose, FLO or electronic signature tools is helpful.
- Able to demonstrate competency, compassion and understanding while communicating verbally and in written communication.
- Excellent customer service skills, attentiveness, information retention, tact, and diplomacy in dealing with both customers and employees.
- Mathematical aptitude, plus good analytical and problem-solving skills.
- Versatility, flexibility, and a willingness to work with constantly changing priorities with enthusiasm.
- Ability to effectively train and provide feedback to employees from all departments of the bank

- Able to learn and retain information related to the bank's products, services, and delivery channels.
