POSITION GENERAL DESCRIPTION: The Project Coordinator provides assistance to the General Manager and Estimators while preparing a project, then to the Project and Field Managers during a project. This assistance is integral to the execution and successful coordination of projects from inception through completion. It is essential to maintain a pleasant, professional, and respectful manner that contributes to and promotes teamwork.

The position requires the ability to define problems, collect data, establish facts, and draw valid conclusions while interpreting an extensive variety of technical instructions along with abstract and concrete details.
POSITION SPECIFIC DUTIES AND RESPONSIBILITIES:
Administrative Functions
- Coordinate travel, meetings/conference rooms (in-person and telephone), lunch and learns, and webinars, etc. for the division.
- Order office supplies and send out mailings via UPS, FedEx, Certified Mail, and USPS.
- Order/Upload Project Specifications and Drawings.
- Provide general administrative/clerical assistance to various support functions of the company as necessary.
- Work with other Project Coordinators to ensure consistency across departments.
- Assist with additional projects, duties, and tasks as assigned.
Preconstruction
- Assist Estimators during the bidding process: Binders, Tabs, and the completion of the Bid Forms.
- Assist Estimators with coordination/request of Bid Bond information.
- Assist with the completion of the Pre-qualification application as requested.
Project Management
- Establish and maintain working relationships and communication with the project team.
- Conduct project surveys: Preconstruction, In-progress, and Completion.
- Maintain a current Project Directory.
- Issue/Record Notice of Furnishings and Notice of Commencements.
- Attend Accounting Handoff Meetings.
- Record and track all Handoff meetings.
- Maintain information in company operations system: Viewpoint.
- Maintain the Viewpoint database and templates.
- Maintain/Collect SL Compliance Subcontract data: COI, BWC, etc.
- Maintain project directory: Add/maintain firms and suppliers as necessary.
- Create subcontract templates.
- Generate, create and track status of all subcontracts.
- Facilitate vendor credit packet.
- Enter meeting minutes and RFI data.
- Process submittals/transmittals.
- Route subcontract change orders.
- Run miscellaneous reports.
- Manage Project Close-out:
- Request/Collect/Assemble an Operation & Maintenance Manual to include warranty, care and maintenance, approved submittals and contact information per each specification.
- Collect and assemble project documents, both paper and electronic, for archiving.
POSITION QUALIFICATIONS:
Education: High School Diploma required, Associates Degree or relevant Certification preferred, or equivalent experience.
Knowledge Required: Reasonable knowledge of business administrative functions, preferably in the construction industry.
Experience Required: At least three (3) years of office experience within a corporate business environment.
Skills/Abilities: Has strong interpersonal, organizational and analytical skills. Shows the capacity to coordinate and manage issues. Can operate business related computer systems, and equipment. Express a willingness and capacity to learn.
