The Behavioral Health Medical Records Coordinator plays an integral role at Mary’s Center by managing all incoming and outgoing mail requests and related medical records documentation. 
Reportability  
This position will report to the Quality Assurance Manager.  
Essential Duties & Responsibilities  
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.  
  • Maintain and organize medical record data in eCW for the Behavioral Health Department  
  • Review all Release of Information (ROI) requests and follow all internal behavioral health procedures to include maintaining confidentiality and privacy of records 
  • Manage all email communications between requesters of records and staff associated with medical record requests. Manage all communications and ROI requests through e-sign genie. 
  • Communicate, when necessary, with all Mary's Center medical records department staff.  
  • Responsible for answering, logging, and responding to all medical records phone calls.  
  • Retrieve and respond to all medical records voicemail system messages  
  • Assist with all Behavioral Health audits by pulling and duplicating records as needed 
  • Retrieve and distribute all incoming faxes for the BH department 
  • Scan and implement a scanning procedure for all incoming documents into eCW  
  • Process all medical records requests with consultation as needed. 
  • Perform other administrative duties as necessary to enhance the efficiency and quality of Behavioral Health operations. 
  • Maintain consistent communication of each ROI request with Director of Clinical Services for Behavioral Health.  
  • Provide administrative support to Quality Assurance Manager and Behavioral Health Department   
  • Assist with DBH (Department of Behavioral Health) and COA (Council on Accreditation) Recertification process 
  • Ensure all activities are HIPAA compliant (Health Insurance Portability and Accountability Act)  

Qualifications

Education and/or Experience – Requires a minimum of High School Diploma or GED equivalent. Associates Degree preferred. Requires two (2) years of administrative experience preferably in a medical clinic/office. Must be bilingual in Spanish and English. Must have a thorough understanding and working knowledge of patient/client confidentiality issues and HIPAA (Health Insurance Portability and Accountability Act) 
Physical Demands – Regularly required to sit; frequently required to reach with hands and arms, walk, stoop, kneel, crouch, talk or hear; must be able to lift objects up to thirty (30) pounds.  
Work Environment – Mostly in a typical office and/or home setting with quiet to moderate noise level. May be exposed to extreme cold, heat, and humidity due to outside weather conditions.
