What are the responsibilities and job description for the Scheduling Technician position at Mass. Eye and Ear (MEE)?
POSITION SUMMARY:
Schedules surgical cases in the Main and Longwood Operating Rooms, the Surgicenter, the Laser Center, the MEC unit, the CT/MRI scanner, Audiology cases, as well as other services that are part of the centralized scheduling system. Inputs data for the production of management reports. Incorporates and adheres to scheduling guidelines for each of these areas. Recognizes and incorporates all equipment needs either by procedure or by physician preference, and confirms the availability for the duration of the procedure. Identifies those physicians requiring more or less time by procedure and overrides the time held by the system.
ESSENTIAL FUNCTIONS:
1. Schedules patients for surgical procedures utilizing the hospitals computer systems.
2. In coordination with the medical staff and other hospital departments, process each booking, including demographic data, diagnosis and procedure and any request for special equipment or needs, including specific personnel requests.
3. Maintain and builds working relationships with hospital and community surgeons and surgeons offices to ensure our OR's are utilized efficiently and effectively.
4. Demonstrate the ability to learn key functional knowledge of head and neck anatomy and terminology in order to appropriately schedule surgical procedures and equipment.
5. Determine appropriate location for surgical procedure and accommodate physician preference and Infirmary policies and guidelines.
6. Provide data to physicians and staff regarding the timing of scheduled surgeries.
7. Coordinate physician surgical schedules so as to avoid overlaps or gaps, to accommodate individual physician where possible, and to increase utilization of surgical locations.
8. Provide the highest level of service to both internal and external customers when fielding phone calls and emails from physicians and staff, providing all follow up in a timely manner.
9. Special projects or reports as requested.
Required Qualifications:
High School, preferably some college. Medical terminology strongly preferred, typing, and an understanding of computer data entry. At least three years of business or hospital experience and an ability to interpret and integrate graphic displays. Keyboard for long periods of time. Must act well under pressure, have a good telephone personality, proven ability to get along well with others and to deal in a tactful and diplomatic fashion as required.
