Principal Duties And Responsibilities
Reporting to Home Base Florida Senior Director, the Program Manager serves as a key member of the clinical admin team.
- Provide superior care and exceptional service to all its patients across all Home Base Florida Outpatient behavioral health and TBI programs to include day-to- day operations
- Act as coordinator between Home Base programing outside of behavioral health such as ICP, Combhat, and wellness
- Directly manage OP and TBI patient services coordination and process coordination in all duties to include client follow up, and process coordination with external clinical partners
- Collaborate with clinical and administrative partners to ensure delivery of care is consistent with HB and MGH standards
- Support other Home Base verticals such as development, marketing & communications, administrative operations and network development
- Work with Home Base Education team and clinical partners to coordinate clinical education needs
- Respond to inquiries and concerns from patients, family members, clinical staff, outside agencies, and others to resolve operational and billing problems. Monitor the patient experience across programs and implement changes where needed.
- Collaborate with other Practice and Administrative Managers as well as the Senior Director of Government Affairs in assessing the impact of new federal and state legislation, changes in third-party reimbursement regulations, and other changes in the external environment on the Program. Develop and implement systems and procedures in response to these changes
- Attend bi-weekly calls with clinical partners to ensure program efficiency
- Collaborates with HB Florida Operations Manager to monitor and report program impact and program growth to meet deliverables and metrics, including wellness and clinical outcomes collections, assessments, and reporting.
- Work with Department and Practice leadership to oversee appropriate information system optimization, scheduling, and reporting to ensure continued use and integrity of system.
- Monitor monthly clinical practice statistics, including volume, Home Base Florida Clinical team staffing and client wait times, and facilitate strategies for improvement in utilization. Develop executive level dashboards and reports with suggestions for improvement and present to Administrative Leadership on a regular basis
- Assess, direct, and support a range of programmatic issues including staffing, psychiatric billing and authorizations, managed care/billing troubleshooting, resolving mental health patient issues in the clinic, and supporting clinicians
- Participate in ongoing quality and process improvement efforts and with special projects as deemed appropriate by the Florida Senior Director and/or Senior Admin Director. Assist Administrative Leadership with the establishment, drafting and overseeing of updates of policies, and procedures for the department
- Facilitate production and ongoing updates to patient materials, including but not limited to patient treatment agreements, waivers, clinical treatment guides, worksheets, etc.
- Work with Home Base Florida Clinical Partners to ensure consistent messaging and descriptions of the programs and services offered by Home Base
- Collaborate with Operations Manager to evaluate, develop and implement various administrative systems and procedures designed to maximize the efficiency of the daily workflow
- Participate in monthly support staff meetings and other hospital wide meetings as required
- Address practice access issues with Home Base Florida Clinical Partners and support staff
- Ensure patient guidelines are implemented, maintained, and routinely monitored
- Collaborate with the Administrative and Operations Managers on a weekly basis
- Perform/coordinate/initiate special projects as needed
- Serve as Home Base representative on Clinical committees, projects, etc.
- Provides cross coverage during unexpected and scheduled absences
Time Management and Organizational Skills:
- Exceptional organizational skills and ability to organize time and priorities effectively, asking for direction when needed
- Flexibility to accommodate changing schedule and tasks based on clinic activities and programs
- Demonstrates proficiency in Microsoft Suite
- Ability to handle sensitive matters discreetly to maintain confidentiality
- Demonstrates strong knowledge of HIPAA and patient privacy standards as well as any state specific regulations
- Excellent interpersonal, communications and leadership skills
- Demonstrates exceptional customer services skills
- Acts as a liaison between key departments, providers, and coworkers
- Self-motivated and able to work independently receiving minimal supervision and guidance
- Demonstrate ability to work with both senior clinical and non-clinical staff across programs
- Demonstrate ability to problem-solve and function as a resource to other members of the team and resolve complex issues on behalf of providers and patients
- Bachelor’s Degree required
- Bachelor’s degree in business or healthcare strongly preferred
- Minimum of 5-7 years’ healthcare experience preferred
- Office setting located in SW Florida. Hybrid role. Some work may be performed remotely
