Job Description:
The Associate Registrar for Academic Programs and Systems assists in managing all aspects of the daily operations of the Registrar's Office with main responsibilities for overseeing maintenance of curricula and related systems updates. Will supervise general office staff in conjunction with Associate Registrar for Operations and Systems.
Responsibilities and Duties:
- Maintains Degree Works software by testing upgrades and patches, working closely with the Office of Information Technology. Using Scribe, completes and assesses all curriculum changes in the system, ensuring accuracy of programs and requirements. Diagnoses, monitors, and troubleshoots all course placement issues. Oversees the processing of exceptions, substitutions, and waivers. Assists with the administration of Degree Works security.

Manages National Student Clearinghouse enrollment and degree reporting. Supports the Financial Aid Office for Title IV federal compliance efforts. Ensures data quality assurance reports and error checks. Oversees student unofficial withdrawal process for financial aid purposes.

Oversees the student participation process in collaboration with the Financial Aid office.

Coordinates transfer credit evaluation, developing catalog of courses accepted in transfer, reverse transfer, program changes and office marketing with assigned staff.

Work with other divisions facilitating the registration process for contract courses.

Serve as campus SIS trainer and point of contact as necessary.

Project management for system upgrades and new technology implementations including timeline, task lists, troubleshooting, documentation, and recommendations for future upgrades.

Edits college catalog in Banner in accordance with curriculum changes. Represents the Registrar's Office at Curriculum meetings. Updates all program and develops documents to update advisors on curriculum changes. Works with Marketing Department to ensure accuracy in the print and electronic version of catalog information.

Responsible for updating of Registrar's Office web pages, ensuring correct curriculum and policy information. Oversees maintenance of academic policies as they relate to student records. Coordinates implementation of policies/procedures related to catalog maintenance and access.

Serves on a number of school-wide committees, including the New Student Orientation committee to help plan and organize orientations and the Enterprise Technology committee to discuss Enterprise applications, issues, and potential updates/upgrades. May participate in other committees as interest and time permits.

Assist with general office staff supervision and help triage student issues to provide excellent customer service and works with other student service offices on resolutions.
Additional Responsibilities:
- Analyzes business processes to ensure logical use of time and resources in the office and student services.

Interacts and collaborates with college-wide offices for issues relating to registration, publications, and academic policies.

Collaborates with vendors and agencies to enhance services to students and the college.

Other duties as assigned.

Job Specifications:
- Competency in using PC-based computers that access servers; proficiency in Microsoft Office, Word, Excel, and Outlook; thorough knowledge of the Ellucian Banner system or similar web-based IT system; thorough knowledge of the Ellucian DegreeWorks system or similar degree auditing system.

Ability to compile and evaluate data derived from data-based information, presenting the results in electronic and written reports.

Ability to coordinate staff to work as a team, as well as independently, to complete deadlines and facilitate services through the Registrar's office.

Ability to write clear and comprehensive procedures and instructions relevant to the Registrar's Office and the College.
Job Requirements:

Bachelor's degree in subject area, education or other related fields.

Three or more years of experience in higher education, enrollment management or student services.

Knowledgeable with federal privacy laws such as FERPA, HIPAA, etc.

Technical experience using student information systems.

Work related experience which reflects advancement in an area of responsibility.

Proficiency in oral and written communication.

Demonstrated interpersonal skills.

Record of work excellence.

Willingness to be an advocate for students, staff and work area.
Preferred Qualifications:
- Master's degree in subject area, education or other related fields.

Three or more years of experience in higher education, enrollment management or student services in a community college setting.

Proficiency in Microsoft Office, Word, Excel, and Outlook.

Knowledge of Ellucian Banner, DegreeWorks auditing system, or other comparable software systems.

Additional Information:
Position Status: Non-unit Professional, full-time state funded with benefits.
Hours: 37.5 per week
Salary: $67,990 - $88,387 (annually), commensurate with education and experience.
Worksite: Assignments will include all Massasoit sites
