What are the responsibilities and job description for the Construction Administrative Assistant position at Mathews Construction?
We are seeking a Construction Administrative Assistant to provide administrative support to management and our construction team by performing the following duties:
- Read and route incoming mail/e-mails. Locate and attach appropriate file(s) to correspondence to be answered by Manager. Assist Manager as needed with responses to ensure timely communication.
- Create, manage, and maintain detailed project files in an organized manner, including architectural plans, subcontractor bids, reports, schedules, change orders, permits, correspondence, etc.
- Follow up on outstanding documents, including but not limited to contract related documents, plan revisions, design decisions, RFI's, and other correspondence to assist with maintaining on time project schedules and incorporation into project files.
- Scan, file, update, and archive electronic documents through our construction management software.
- Manage calendars and schedule appointments.
- Assist with proposal and bid package information as well as construction contracts.
- Coordinate the process of permit applications and submission to building department as well as the submittal and shop drawing process with project team. Track to ensure completion status.
- Assist in processing and submitting invoices.
- Keep Managers and team up to date on task progress and completion as well as communicate with construction superintendents, clients, and external subcontractors, vendors, etc. as directed.
- Perform other related duties as assigned.
Skills of the Construction Administrative Assistant:
- Ability to handle multiple tasks simultaneously.
- Excellent organizational and file management skills with a keen attention to detail.
- Meet time sensitive deadlines with accuracy while maintaining a high degree of customer service.
- Good communicator - written and verbal. Ability to compose letters, emails, and other correspondence as well as strong interpersonal skills.
- Self-starter with a strong work ethic coupled with a sense of responsibility and integrity when performing job duties and handling confidential information.
- Proficient in Microsoft Office (Word, Excel, etc.) Ability to operate a computer and basic office equipment.
- Prior construction administrative support and/or experience with construction management software would be a plus.
Job Type: Full-time
Pay: $14.00 - $25.00 per hour
