What are the responsibilities and job description for the Payroll and Human Resources Associate position at Mattex Service Company?
Mattex is looking to expand its team with a full-time Payroll and Human Resources Associate. This position is based at the Champaign office and requires travel to the Monticello office one or two times a week as determined by the Accounting Manager and dependent on the nature of the work. In addition, HR responsibilities may dictate the need to travel to all Mattex facilities on a quarterly or as needed basis. Training and weekly meetings for this position will be conducted in Champaign.
Key Responsibilities
- Facilitate new hire onboarding including pre-employment screenings and I-9 verification.
- Schedule new employee orientation and respond to inquiries regarding policies, procedures, and benefits.
- Responsible for maintaining accurate employee and benefit plan records and data.
- Ensure accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates, deductions, and addresses.
- Review timecards and payroll reports for accuracy and correct errors to ensure accuracy.
- Prepare staff payroll and submit for approval.
- Verify proper processing of payroll deductions for taxes, benefits, and other deductions.
- Assist in the administration of employee benefits programs including group health, flexible spending accounts, health savings accounts, dental and vision, life insurance, retirement, and other benefits.
- Verify the calculation of the monthly premium statements for all group insurance policies.
- Assist with general Human Resource responsibilities such as posting HR Connect announcements, fielding employee questions and concerns, promoting two-way communication between employees and management, aiding managers in proper handling of coaching or disciplinary action, conducting exit interviews and supplying relevant feedback to the leadership team.
- Review, track, and document compliance with mandatory and non-mandatory training, continuing education, and work assessments.
- Maintain and update company organizational charts, phone directory, and other requested reports as needed.
- Respond to verification requests.
- Coordinate workers' compensation claims with third-party administrator. Pay
- Review and respond to unemployment claims with appropriate documentation.
- Assist with Accounts Receivable, as needed.
- Process customer payments, as needed.
Desired Skills and Experience

- Thorough attention to detail with on time delivery.
- Ability to act with integrity, professionalism, and maintain strict confidentiality.
- Excellent communication and interpersonal relationship skills.
- Associate Degree in Accounting, Human Resources, Business Administration, or equivalent combination of education and experience.
- Proficiency with Microsoft Office Suite.
- Prior experience with or the ability to quickly learn the company’s payroll software.
- QuickBooks experience is preferred.
