Position Overview:
We are seeking a detail-oriented and organized Billing Specialist to join our fast-paced legal service organization. The Billing Specialist will be responsible for accurately and efficiently processing client invoices, tracking billable hours, ensuring the timely submission of invoices, applying customer payments to outstanding invoices, working with clients on timely cash collections, and reporting A/R-related updates and insights to attorneys and management team members. This role is crucial in maintaining the financial health of our organization and requires a strong understanding of legal billing processes and compliance. Additionally, this role may be asked to support in other Finance & Accounting areas as needed from the business (e.g., bookkeeping, budgeting, FP&A, treasury management, tax prep documentation, etc.).
Key Responsibilities:
Billing and Invoicing: Prepare and review client invoices, ensuring accuracy and compliance with client agreements and legal regulations. Verify billable hours, expenses, and disbursements to be included in invoices. Coordinate with legal staff to gather necessary billing information.
Client Communication: Address client inquiries and concerns related to billing and invoices in a professional and timely manner. Assist in the resolution of billing disputes, working collaboratively with legal teams and clients.
Time and Expense Tracking: Monitor and track billable hours, expenses, and disbursements for all cases and projects. Ensure time entries are accurate, complete, and up to date.
Collections and Payment Processing: Follow up on outstanding client invoices and facilitate the collection process. Record payments received and update the financial records.
Reporting and Analysis: Generate reports and analysis related to billing, revenue, and outstanding invoices. Assist in identifying trends and areas for process improvement.
Billing System Management: Maintain and update the billing system to reflect current client information and billing rates. Ensure the integrity and security of billing data.
Collaboration: Work closely with attorneys, legal assistants, and administrative staff to gather billing information, resolve discrepancies, and improve overall billing processes.
Legal Software: Utilize billing software and legal management systems to manage billing and financial data efficiently.
Billing Compliance: Ensure adherence to client billing guidelines, fee arrangements, and applicable regulatory standards.
Qualifications:
Bachelor's degree in Finance, Accounting, or a related field preferred.
Prior experience in legal billing within a law firm environment is strongly preferred.
Proficiency with billing software and financial systems (e.g., legal billing software, Microsoft Excel).
Strong attention to detail and ability to maintain a high level of accuracy.
Excellent communication skills, both written and verbal.
Ability to work in a fast-paced and dynamic environment, managing multiple tasks simultaneously.
Understanding of legal billing practices and regulations is a significant advantage.
