SUMMARY

Assist the Director of Parts Operations in striving to return a satisfactory profit on dealer capital invested in parts inventory. Accomplish objectives through the use of proper purchasing procedures, inventory control, staff utilization, sales management, expense management, security, pricing, merchandising, displaying, and advertising.

ESSENTIAL DUTIES include the following. Other duties may be assigned.

Forecast goals and objectives for the department and strives to meet them.

Prepare and administer an annual operating budget for the parts department.

Maintain a balanced inventory consistent with the requirements of the service department, body shop, wholesale accounts, and the do-it-yourself public.  Strive to exceed 6 inventory turns per year.

Actively manage consignment inventories to ensure high turnover and protect the off-site assets of the company.

Monitor and adjust inventory to minimize obsolescence.

Manage Ordering and PO process to ensure that all orders are properly allocated and documented to ensure accurate processing upon receipt and payment upon invoicing.

Manage invoice reconciliation process to ensure accurate billing from suppliers.

Work with the Director of Parts Operations to establish pricing parameters in each customer category/group that generates sufficient gross profit while maintaining customer loyalty and satisfaction.

Ensure that all returned parts or cores are properly tagged so that the dealership recovers full credit from the factory.

Work with the Accounting Department to ensure timely and accurate reconciliation of parts related accounts (including but not limited to (Core Receivable, Return Receivable, Cash, Fleetcharge, Inventory, etc.)

Work with the Director of Parts Operations to create, update, implement, and manage policies and procedures for the department.

Analyze sales, expenses, and inventory monthly and make changes or recommendations to help achieve profit goals.

Develop and administer an aggressive wholesale part sales program to produce profit.

Ensure that the same high quality level of service provided to outside customers is also provided to internal dealership customers.

Work with the service manager and/or body shop manager to implement a timely and consistent status communication process and ensure fast turnaround (high first time fill) of parts needed for internal jobs.

Attend managers meetings.

Work with other branch parts and service managers on inventory control, purchasing, employee training, and sales/marketing efforts to help drive identical processes and procedures and ensure consistent customer experiences across all locations.

Hold regular department meetings (formal or not) to discuss business activity, address issues, and recognize employees contributions.

Analyze departmental operations and storage layout and revise as needed for maximum effectiveness.

Work with Director of Parts Operations and other Parts Managers to develop and implement an annual training plan for all parts employees.

Provide technical assistance to parts department employees.  Serve as back-up for absent parts department employees.

Monitor parts department employees' payroll records for accuracy and in a manner that eliminates un-approved overtime.

Coordinate a prompt, efficient, and timely flow of paperwork between the accounting and parts department.

Manage warehouse and administrative staff to ensure accurate and timely processing and receipt of incoming freight.

Implement policies and procedures to ensure freight recovery meets company objectives.

Monitor daily reports such as Lost Sales, Negative on-hand, No-Bin, 0 Cost, Daily DOC, Backorders available to fill, daily adjustments to cost/price/quantity, and sales productivity by employee to properly manage staff activities and expectations.

Develop and utilize a lost sales tracking report/system to improve inventory quality.

Direct phone and counter sales efforts, including a telemarketing program as necessary to keep in contact with customers and drive increased sales volume.

Work with the Director of Parts Operations to develop sales promotions and merchandise the visual parts display area accordingly.

Work with Supplier representatives to take advantage of all manufacturers' inventory co-op advertising and keep staff up to date on product/program changes.

Develop, enforce, and monitor guidelines for working with customers to ensure maximum customer satisfaction.

Handle customer complaints immediately and according to the dealership's guidelines.

Ensure that all dealership purchases are properly accounted for before payment is made.

Ensure that we maintain a clean and safe working environment in the Parts Department.  Enforce safety requirements, including but not limited to forklift training and operation, processing of SDS sheets on all products carried, monthly facility and equipment safety inspections, and OSHA Right-to-Know.  Attend safety meetings as representative of the department and promptly inform/educate staff on what is discussed.

Understand, keep abreast of, and comply with federal, state, and local regulations that may affect parts sales.

Coordinate and manage the annual physical inventory and routine cycle count processes for assigned location.

 Maintain professional appearance and attire and enforce company dress code and appearance policies with employees.

SUPERVISORY RESPONSIBILITIES

 Hire, train, motivate, counsel, and monitor the performance of all parts department staff including; parts administration, front counter sales, back counter sales, telephone sales, outside sales, and warehouse staff (Core, Shipping & Receiving, Order Fulfillment, and Delivery).

 Manage employee compliance with company policies and procedures.

 Work with the Human Resources Manager to ensure compliance with federal, state, and local employment policies and procedures.

Ensure accurate job/role descriptions are in place for every employee and reviewed with the employee’s to ensure that all job expectations are clearly understood.

 Recruit and hire to fill vacant positions in a manner that hires for future growth potential.  Promote from within the company when possible.  Obtain prior approval from the Director of Parts Operations for all hiring decisions.

Implement and manage an annual review process for all department staff.  Annual reviews should clearly define employee’s performance vs. job expectations (i.e. job/role description based).  Annual reviews should not be relied upon as a primary means of documenting performance issues.

Ensure accurate, timely, and written documentation of performance issues for employee’s personnel files.  All HR/Employee related documents should be maintained and stored with the company HR manager as per company policy.

 Make employee pay rate change recommendations to the Director of Parts Operations based on performance, merit, or role changes.  Obtain pre-approval from the Director of Parts Operations for any pay rate changes before committing to employees or recruits.

QUALIFICATIONS

 COMPUTER SKILLS        

Internet Savvy, Email (MS Outlook), Microsoft Office (Word, Excel, PowerPoint), Data Entry, KARMAK or ADP experience desired.

 

EDUCATION and/or EXPERIENCE

Two years of post high school education and/or Associate of Arts degree or equivalent combination of job experience and education.  Ten years of progressive experience working in a heavy duty diesel truck dealership parts department, the heavy duty diesel truck industry, or related businesses.  Experience must include at least 2 years of supervisory experience.

Able to research issues to determine the root cause and develop or recommend and implement or manage the implementation of a solution.

LANGUAGE SKILLS

Ability to read and comprehend simple instructions, short correspondence, and memos.  Ability to write simple correspondence.  Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  To compute rate, ratio, and percent.

REASONING ABILITY

Ability to apply common sense understanding to carry out detailed but involved written or oral instructions.  Ability to deal with problems involving a few concrete variables in standardized situations.

CERTIFICATES, LICENSES, REGISTRATIONS

Valid Drivers License, ASE Certified Parts Specialist or Parts Manager, Forklift Operator’s license, Vendor/Supplier Training Certificate’s, International Parts Certification, and International/Navistar training certificates .
