The Purchasing and Logistics Associate will be responsible for managing the procurement of goods and services, ensuring timely and cost-effective purchasing, and coordinating logistics to ensure smooth distribution of materials for our projects. The successful candidate will play a key role in supporting the operational needs of the organization and ensuring efficient supply chain management.
Job duties:
- Oversee and manage the procurement process for goods, services, and equipment in line with the organization's policies and donor requirements.
- Identify and negotiate with suppliers to obtain competitive pricing and high-quality products.
- Track and manage inventory levels, ensuring timely replenishment of stock as needed.
- Coordinate the logistics for shipping, receiving, and distribution of supplies and materials to various project sites.
- Collaborate with the finance team to ensure accurate and timely processing of purchase orders and invoices.
- Maintain and update records of purchases, suppliers, contracts, and deliveries.
- Work closely with program teams to understand and anticipate purchasing and logistics needs.
- Ensure compliance with procurement regulations and organizational policies.
- Assist in the preparation of procurement reports for internal and external stakeholders.
- Participate in procurement planning and budgeting exercises.
Knowledge, Qualifications, and Skills:
- Bachelor’s degree in supply chain management, business administration, logistics, or a related field.
- At least 2 years of experience in procurement, logistics, or supply chain management, preferably in the NGO or non-profit sector.
- Strong understanding of procurement best practices and supply chain management.
- Advanced knowledge of all current Microsoft Office software programs and in particular Excel.
- Excellent negotiation and communication skills.
- Strong organizational and problem-solving abilities.
- Ability to work under pressure and meet tight deadlines.
- Knowledge of donor procurement regulations (e.g., USAID, EU, etc.) is an advantage.
- Proven track record of successful teamwork using virtual collaboration.
- Proficiency in Spanish, French, or Portuguese a plus.
- Effective oral and written communication skills.
