Job Description
This is a growth position for McDaniels Marketing & McD Digital. The Marketing Support Assistant position is ideal for someone looking for a very active position that allows a great work-life balance while learning about a variety of industries that we serve. (And work with some really smart and talented people!) The ideal candidate is someone who has solid Microsoft Office skills and some level of experience with database operating systems. General office management and support expertise is a plus.
Core Duties:
Phones
Answer phones – screen/route calls
Be efficient with phones and know how to forward calls to the proper person and take messages
Leverage our Agency Management system (Workamajig) to:
Open projects and set estimates
Develop and send invoices
Create purchase and insertion orders
Track time and budgets for projects
Create reports as needed
Vendor/Project Management
Contact print vendors for quotes
Prepare quote documents
Send purchase orders and files to vendors
Track progress and delivery timelines
Mail
Sort and distribute mail as necessary
Drop off payments in correct drop boxes when necessary
Prepare outgoing mail at the end of the day
Support account executives by managing mailings to new client prospects
Filing & Supply Management
Paid invoices
Purchase orders
Print samples
New business files
General office filing and organization
Monitor supplies throughout the office, helping to keep items stocked; printers working
Shipping
Package items for shipping
Prepare UPS/FedEx labels online
Drop packages off at UPS/FedEx when necessary
Manage postage meter
Other support
Print and assemble employee handbooks for new employee orientation
Support client visits with refreshments
Help plan & organize agency events
Year-end
Make new files & binders as needed for various staff
Purge files in agency buildings
Misc.:
Run errands in company vehicles
Acquire props and talent for photo and video shoots
Education Requirements
High School Diploma plus Associates degree in business or related field
Physical Requirements:
Lifting (cases of paper, moving boxes of files)
Traveling up and down stairs within the office
Looking at a computer screen for long periods of time
Sitting for long periods of time
Fast-paced, multi-tasking, solving, or referring problems to various members of the team
Solid deadlines with urgent issues arising can be stressful, must be able to manage stress.
Driving locally to run errands, including removing recyclables from the office
