What are the responsibilities and job description for the Practice Administrator position at McNulty Counseling and Wellness?
McNulty Counseling and Wellness is looking for a Practice Administrator who has successful experience in the mental health or medical field in growing and managing practices by taking them from one to multiple locations. The base salary is 45k with an immediate starting monthly profit sharing bonus of 5% for every practice that you open for the lifetime of those practices being opened while you manage them. The profit sharing will increase as you hit certain quantity milestones across multiple practices ultimately resulting in a 6-figure income dependent on your performance and ability to manage your practices. Alternatively, I’m happy to offer a fixed salary position but I’m a firm believer in profit sharing and ensuring that your talent is compensated fairly. You will be handling a multi-location practice at scale.
McNulty Counseling and Wellness started in January of 2018 and we now have a total of three locations in St. Petersburg, Tampa, and Sarasota. We’ve successfully established a strong presence in competitive and saturated markets. We have an exceptional reputation and business model of only accepting private pay clients. We have never accepted insurance. Not accepting insurance frees up our clinicians from succumbing to stressful and rigid workplace standards which further allows us to promote autonomy, trust and independence in our clinicians. We currently have 13 clinicians and have the capacity to quickly hire more. I want you to take the foundation of an already successful business model and utilize your skillset to take us to the next level.
Main Job:
- Analysis and Operations:
- Analyze, monitor and deep dive into our business and functional performance and lead scaling operations. This has already been done to some extent but a growth mindset, coupled with previous knowledge and experience, is needed in order to create replicable scaling methodology to help meet our expansion goals.
- Utilize our current technology, years of target demographic data, and create new data analytics to derive clear actions and growth verticals from self-implemented data and business analysis.
- Management:
- Create desirable job postings, interview, hire, and continue to manage the best of the best mental health counselors. You’ll also be responsible for onboarding these clinicians with our current system. Through trial and error we now have the most amazing counselors and an outline of what makes them great which will be at your disposal for hiring. You will have the ability to create team leaders at multiple locations who report to you at scale.
- Constantly analyze and improve clinician experience in creating a work-place environment with low turnover and high longevity in their tenure with the company. Clinician happiness why we became successful so quickly compared to others in our market.
- Constantly innovate and improve customer experience while ensuring quality control is quantifiable and is regularly being performed for every clinician by coming up with standards to ensure client satisfaction and then reporting those in review sessions with owner/clinician. Client satisfaction is why we stay successful in the market.
- Implement established practice-wide clinician standards and practices and implement ways of holding clinicians accountable at scale.
- Regularly schedule in-person meetings with team managers.
- Scaling and Expansion:
- Create long-lasting relationships with network funnels for new and current practice locations and personally execute outreach programs with target demographic schools, attorneys, physicians, etc. Critical thinking in this role of your job is essential as it is important to not waste valuable time or resources on non-referral sources. There will be many times where you will be rejected or turned away so it is important for you have the ability to think outside of the box so you can get in front of the right people and get them to believe in our counseling center and in how it can help their students, family body, patients, practice etc. Because the clinicians you hire do such an incredible job, it’s important that they are perceived as so, and that those reputations with those sources are maintained on a regular basis.
- Find business opportunities in the mental health sector that can improve profit and revenue by helping more people in different ways, and then execute implementation across the practices. I’m always open to new and exciting ideas, even if it means accepting insurance, if it can help us grow, I’m open to it.
- Implement these quality projects with appropriate budget with care for conservatively managing capital.
- Meet with the owner and provide concise data tracking of growth and expansion milestones.
- Implement previous knowledge on advertising for marketing budgets that produce a positive ROI.
Who we are looking for:
5 years in experience in consulting, project management or business planning in mental health field or comparable health.
Results-driven, risk-tolerant, customer-centered, and clear communication skills
Strong analytical skills and talent leveraging qualitative and quantitative data in decision-making and scaling
Strong managerial skills with a empathetic yet assertive personality for leading large teams

The process:
You’ll shadow the founder to get caught up to speed of current business operations and then you’ll be able to start immediately in implementing your own processes and procedures for your next practice. The capital to open the next practice will be provided and then it will be your responsibility to begin hiring, establishing solid network funnels, and getting clients in the door asap. You’ll begin to familiarize yourself with current practices and clinicians to ultimately replace Travis’s managerial role. At scale, you’ll have a system for maintaining current practices, opening new ones, and effectively growing the business how you see fit in a general hands off approach.
