What are the responsibilities and job description for the Project Coordinator position at ME&A?
Summary:
ME&A seeks a Project Coordinator to perform administrative tasks directly in support of internal or client-focused program or project management such as maintaining complex project timelines, tracking deliverables, gathering data and updating project/program financial status reports, coordinating project/program management meetings, and assisting with preparation of briefings and presentations from initiation to completion. Assists managers with developing, documenting, implementing and tracking project/program procedures. This is a hybrid work environment.
Responsibilities:
- Assisting activities that support the completion of projects within the Project Management Team.
- Drafts and updates, as necessary, SOWs and budgets for consultants to implement evaluations that meet USAID study requirements.
- Follows up with evaluation teams on aspects of the studies that will ensure high-quality data collection, analysis and report preparation. As needed, participate in evaluation literature reviews.
- Provides logistical, administrative, financial management, and technical support to consultancy teams implementing studies.
- Verifies that contract requirements are met in a timely manner and scheduled payments and variations are tracked.
- Initiates subcontract invoice payments, reviews subcontract agreements and assists in subcontract management of deliverables for studies.
- Assist in documenting project phases and creating summary reports for company management
- Communicate project changes and client requests to the project manager and to relevant internal departments.
- Assist and coordinate responding to proposals, information requests and client communication.
- Responsible for submission, coordination, and resolution of documents and referencing into defined customer systems.
- Oversees consultants' travel arrangements in compliance with USAID regulations and obtain necessary approvals.
- Performs other related duties as required.
Qualifications:
- Bachelor's degree in Business Administration, Communications, Public Relations, Journalism, International Development or related field or equivalent relevant work experience. Master's degree is a plus.
- Previous work experience in project support at a government contracting organization, or involvement in a communications capacity.
- Minimum two years of office experience preferably in the government consulting industry
- Demonstrated understanding of project management concepts.
- Customer-driven and excellent follow-up skills
- Able to organize information in a manner readily understood by clients and colleagues
- Excellent verbal and written communication skills
- Attentive to detail and able to flex with competing priorities and deadlines
- Proficient in Excel, Word, PowerPoint, and Outlook
- Presentation Skills.
- Problem Solving/Analysis.
- Ability to work independently with minimal managerial supervision.
