Position Summary
To serve as an administrative extension of a University officer, dean or major department head, planning and organizing departmental programs, coordinating functions with outside agencies or other University departments, instituting or enforcing fiscal or other accountability systems, preparing a variety of publications, speeches and reports, and dealing with administrative detail requiring the formulation of policies and regulations.
Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned.
- Establishes procedures for conducting daily departmental operations in accord with administrator’s policy guidelines and overall needs of the University.
- Communicates with other University representatives, government agencies, student or alumni groups, learned societies, accreditation bodies and other individuals or groups to exchange information, enlist cooperation and implement departmental programs.
- Prepares variety of publications, speeches, memoranda, correspondence, research monographs and proposals designed to effect action or publicize departmental activities.
- Maintains appropriate records, files and accounts, instituting or enforcing accountability and confidentiality procedures according to nature of data.
- Plans, organizes, schedules and coordinates departmental or University-wide activities such as graduation ceremonies, conferences and other faculty, student or alumni functions.
- Acts on behalf of supervisor in absence, such as chairing meetings, representing department at professional gatherings and directing departmental activities during vacations.
- Receives and orients visitors, advises or consuls students, trains new employees, and speaks to campus organizations as representative of supervisor.
- Recommends major departmental policy changes for approval by supervisor.
Qualifications
Education
- A Bachelor’s degree or an equivalent combination of training and experience is necessary.
Experience
- A minimum of 3 years of responsible experience directly applicable to supervisor’s functional areas is necessary.
- Facility in oral and written expression and administrative capacity is necessary.
- Supervisory experience is desirable.
- Depending upon position, specialized experience and/or training in accounting, law or other specialization may be necessary.
