Provides administrative support to President & CEO exercising confidentiality, tact and professionalism at all times. Interacts with a diverse group of callers, visitors and employees, as well board of directors and community leaders. Plans, prioritizes and organizes workload. Proactively filters requests, meeting invitations and activities of CEO to maximize executive’s time.
Responsibilities
- Provides administrative support for President and CEO
§ Maintains the executive’s special/strategic projects
§ Corresponds through multiple media channels. Fields phone calls, mail and email, maintaining the security of the executives' records and files
§ Manages calendars and appointment scheduling
§ Proactively requests information to maximize meeting effectiveness
§ Receives visitors including board members and community leaders
§ Safeguards the executive from distractions and interruptions; redirects as appropriate
§ Prepares and distributes materials for Board Meetings
§ Uses business software applications (word processing, presentation and spreadsheet) to prepare/generate reports, correspondence, presentations, meeting minutes, etc.
§ Prepares and tracks purchase orders, expense reports, system access requests, and supply orders.
§ Coordinates meeting logistics, including facilities, equipment and travel arrangements.
§ Acts as a liaison with other departments and outside agencies, including high-level staff. Collaborates on special projects.
Qualifications
§ Bachelor’s Degree in Business Administration or related field or equivalent post high school vocational and/or formal training program for administrative assistant/office management
§ 7 years experience as an Executive Assistant; preferably in the financial services or healthcare industry
§ Certified Administrative Professional or related certification preferred
§ Advanced knowledge of expense account preparation, budget reporting, making travel arrangements, and managing executive schedule
§ Knowledge of standard office procedures and equipment operation (multi-function copier, multi-line phone, etc.)
§ Knowledge of the organization’s operations, procedures and organizational structure
§ Advanced Microsoft Office skills
§ Demonstrated knowledge of executive office protocols regarding confidentiality and ability to interact with high level officials, customers and board members
